The Role
Job Title: Patient Care Coordinator (Part-Time)
Location: Millburn, NJ
Compensation: $18.00 – $20.00 per hour, based on experience.
Job Type: Part-Time (Potential for Full-Time Conversion)
The Patient Care Coordinator is responsible for managing the entire client lifecycle, ensuring clinical compliance, driving patient flow, and facilitating a seamless, high-end experience for every patient and client.
Schedule and Availability
Expected Weekly Hours: 20–30 hours (Shifts typically 6–8 hours)
- Monday – Friday: Must be available to work shifts between 9:00 AM – 6:00 PM.
- Saturday: Must be available to work shifts between 9:30 AM – 4:00 PM.
Note: This role requires open availability within the stated timeframes. This is not a remote position.
Core Responsibilities
1. Client & Patient Experience Management
- Serve as the "face and voice" of the practice, greeting all individuals with a warm, genuine, and professional spirit of hospitality.
- Manage the office flow to minimize wait times and maximize provider efficiency.
- Proactively confirm appointments via phone and SMS and manage complex scheduling sequences.
2. Administrative & Financial Operations
- Perform swift and accurate check-in and check-out procedures.
- Handle accurate payment processing and collecting, including managing cash, credit cards, and package redemptions.
- Operate and manage the RingCentral phone system efficiently, handling high-volume calls while strictly maintaining patient and staff privacy and security.
- Maintain strict patient confidentiality standards aligned with clinical best practices.
3. Clinical Compliance & Sales
- Perform insurance benefit verification and manage new patient demographics and clinical information.
- Clearly inform patients of service pricing and provide detailed, professional explanations of treatments and services.
- Exhibit strong closing skills by assisting clients with proactive rebooking for follow-up appointments and actively selling retail products and packages.

- Proven sales aptitude and comfort in discussing pricing and recommending additional services/products.
