As we grow, we’re seeking a personable and organized Patient Care Coordinator to join our front office team and help ensure every patient’s experience is seamless and memorable.

About the Role

As a Patient Care Coordinator, you’ll serve as the first point of contact for patients visiting our Cerritos location. From greeting clients and scheduling appointments to assisting with back-office flow and patient education, this role is key to delivering the Belle Vie experience. This is a permanent role that may be part-time or full-time, depending on the right candidate’s availability and fit.

Responsibilities

Front Desk & Patient Experience

  • Welcome patients warmly and by name
  • Monitor and maintain cleanliness of waiting area, restrooms, and treatment rooms
  • Assist with onboarding, applying numbing cream, and transitioning patients to providers
  • Maintain a calm, professional environment, even during high-traffic periods

Phones & Scheduling

  • Answer and manage calls with professionalism and positivity
  • Book appointments, collect necessary information, and follow phone protocol
  • Educate patients about pre/post care and cancellation policies

Digital Communication

  • Respond to patient inquiries via text, email, and online platforms in a timely manner
  • Target response times: 10 minutes (text), 30 minutes (email)

Check-Out & Payment

  • Upsell skincare products or sunblock at checkout
  • Apply applicable discounts or rewards and collect accurate payment
  • Schedule follow-up visits and provide written post-care instructions

Marketing & Content

  • Be willing to appear in marketing photos/videos as needed
  • Capture before/after photos (once trained)
  • Assist with creating promotional content for in-office and social media use

Inventory & Supplies

  • Help maintain inventory logs and assist with ordering office supplies
  • Support product tracking and stocking efforts

Team & Operational Support

  • Assist back-office staff when needed (after proper training)
  • Collaborate with coworkers to cover shifts, including occasional evenings or Saturdays
  • Maintain a flexible attitude and assist where needed across the practice

Qualifications

  • Warm, professional demeanor with strong communication skills
  • Highly organized and able to multitask in a fast-paced environment
  • Prior experience in a medspa, salon, or similar client-facing role preferred
  • Tech-savvy and comfortable with booking platforms and digital communication
  • Positive, team-first attitude and willingness to adapt

Schedule

  • Open to both full-time or part-time candidates
  • Flexibility to work weekends or evening shifts preferred
  • Must be open to covering shifts as needed or during team PTO

Compensation & Benefits

  • Hourly rate starting at $18/hour
  • Eligibility for performance-based bonuses
