Position Information

Hiring Department: Social Work

Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm, flexibility is required on evenings and weekends

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: Commensurate with experience and education.

Purpose of Position

Under limited supervision, provides coordinating services, keeps official records, and executes administrative policies determined by or in conjunction with other officials, within the area of assigned responsibility.

Essential Functions

The CWTC’s purpose aligns with UTEP's mission to provide quality higher education to diverse student populations. The project entails professional partnership/deliverables in contract with the Texas Department of Family and Protective Services (DFPS).

The Child Welfare Training Collaborative, Title IV-E Lead Coordinator role supports the planning, implementation, and evaluation of various project initiatives. This role is responsible for managing data collection, conducting assessments, coordinating logistics for training events, and providing comprehensive administrative support. The coordinator works closely with the program manager and stakeholders to ensure compliance with grant funding and deliverables in adherence to project objectives.

Key Responsibilities

  • Training and Program Coordination
  • Support the planning and execution of training sessions for CPS staff and foster parents.
  • Manage event logistics, including registration, attendance tracking, sign-in sheets, and evaluation materials.
  • Coordinate scheduling, communication, and follow-up with training participants and facilitators.
  • Maintain detailed records of training activities and participant engagement.
  • Attend relevant conferences, including the annual state IV-E meeting and roundtable, to support professional development, project alignment, and identify emerging opportunities for project growth.
  • Data Collection, Analysis, and Evaluation
  • Design and implement evaluation tools for staff and foster parent trainings (e.g., pre-post surveys and flyers).
  • Enter, manage, and analyze quantitative and qualitative data on training outcomes and project goals.
  • Develop and prepare evaluation reports for funders, stakeholders, and university leadership.
  • Assist in preparing the annual budget and grant reporting documents, ensuring data accuracy and completeness.
  • Administrative and Logistical Support
  • Manage travel arrangements, reimbursements, and expense tracking for staff and training facilitators.
  • Oversee procurement of training materials, supplies, and catering as needed.
  • Provide day-to-day administrative support to the IV-E project team, including calendar management, meeting coordination, and correspondence.
  • Ensure timely submission of reports and compliance with university and funder policies.
  • Knowledge and skills in program evaluation and report writing.
  • Proficiency in Microsoft Office software, including Word and Excel, and learning and working within other data management systems.
  • Excellent organizational, communication, and interpersonal skills.
  • Ability to manage multiple tasks with attention to detail and accuracy.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Required Qualifications

Education: Bachelor’s degree in social work or related field from an accredited college or university

and

Experience: 0-2 years of related experience in child welfare work or training, implementing and conducting needs assessments and or analyses, evaluating factors related to client services or success, data collection, or an equivalent combination of education and employment experience, to include budget monitoring, data or survey collection, analysis, and reporting. Ability to plan, organize, and communicate effectively orally and in writing.

Preferred Qualifications

Master's in Social Work

A minimum of two years related experience in child welfare work, training, programs, or federally funded grants (e.g., Title IV-E).

Familiarity with evaluation methods, survey tools, or platforms such as Canva, Qualtrics, or Question Pro

Experience in budget monitoring
