POSITION OVERVIEW We're looking for a friendly, detail-oriented Intake Coordinator to serve as the first point of contact for our customers and manage our lead intake process. This role is essential to maintaining our smooth sales pipeline and ensuring every potential customer receives prompt, professional service. KEY RESPONSIBILITIES
Lead Management & Communication
- Answer incoming phone calls and respond to web inquiries with professionalism and enthusiasm
- Follow up on all lead sources to ensure no opportunity is missed
- Qualify leads using our proven scripted questions to gather essential information (service location, roof type, urgency, budget, etc.)
CRM & Data Management
- Enter all lead details accurately and promptly into Pipedrive CRM
- Assign qualified leads to the appropriate sales representatives
- Update and maintain CRM stages throughout the customer journey
- Maintain a comprehensive, organized log of all incoming leads and their dispositions
Appointment Coordination
- Confirm appointments with customers to ensure smooth scheduling
- Create and manage follow-up reminders for the sales team
- Conduct systematic follow-ups on past leads to maximize conversion opportunities
WHAT WE'RE LOOKING FOR
- Communication Skills: Exceptional phone manner with a warm, professional demeanor
- Technical Proficiency: Comfortable with CRM systems (Pipedrive experience a plus), web-based tools, and standard office software
- Organizational Excellence: Strong attention to detail with the ability to manage multiple tasks simultaneously
- Customer Focus: Genuine desire to help customers and provide outstanding service
- Speed & Accuracy: Ability to work efficiently while maintaining high accuracy standards
- Team Player: Collaborative mindset with the ability to work closely with our sales team
PREFERRED QUALIFICATIONS
- 1-2 years of experience in customer service, sales support, or administrative roles
- Experience in the construction, roofing, or home improvement industry (bonus but not required)
- Familiarity with CRM systems, particularly Pipedrive
- Bilingual abilities (English/Spanish) are a plus for serving our diverse community
