Position Summary:

The Psychiatry Practice Manager provides strategic and operational leadership for Clearwave’s psychiatric services, with direct oversight of two Practice Coordinators and their respective teams. This role is responsible for driving efficiency, improving patient experience, and ensuring seamless provider support across the practice. Reporting into senior leadership, the Psychiatry Practice Manager plays a key role in aligning day-to-day operations with Clearwave’s broader mission of delivering exceptional, patient-centered psychiatric care.

This is a management position with responsibility for both provider support and patient support functions.The ideal candidate is a proactive leader who can manage through others, analyze practice performance metrics, and implement strategies that optimize provider utilization, patient flow, and overall practice success.

Duties and Responsibilities:

Operational Management

  • Track and report on key practice metrics including provider utilization, patient appointment volume, and no-show rates.
  • Analyze trends and implement process improvements to enhance efficiency, patient access, and revenue generation.
  • Monitor provider schedules to optimize appointment slots and reduce inefficiencies.
  • Oversee clinician onboarding, credentialing, and provider directories to ensure readiness and compliance.
  • Create and refine standard operating procedures (SOPs) to streamline workflows and drive consistency across locations.
  • Ensure adherence to HIPAA, OSHA, and Clearwave policies to maintain compliance and patient confidentiality.
  • Travel to Clearwave locations to meet with clinicians and on-site managers for onboarding, training, and issue resolution.

Leadership & Oversight

  • Provide direct management and coaching to the Practice Coordinator of Patient Support and the Practice Coordinator of Provider Support.
  • Hire, train, and manage front office and intake teams, ensuring effective coordination between patient-facing and provider-support functions.
  • Conduct regular one-on-ones and annual performance reviews with direct reports, fostering accountability and growth.
  • Address performance issues through coaching, disciplinary action, or termination as necessary.
  • Cultivate a team culture rooted in patient-centered care, collaboration, and operational excellence.

Patient & Provider Support

  • Ensure smooth care coordination, referrals, and follow-up recommendations for Clearwave Psychiatry patients.
  • Oversee front office operations ensuring excellent service during scheduling, check-ins/outs, and patient interactions.
  • Oversee provider support functions ensuring consistent medical technician training, onboarding, and credentialing.
  • Address escalated patient concerns, including scheduling issues and provider-related complaints.
  • Partner with Coordinators and clinicians to improve both the patient journey and provider experience.

Collaboration & Communication

  • Serve as the operational bridge between psychiatry providers, front office teams, and leadership.
  • Communicate effectively with leadership, providing updates on practice performance and operational challenges.

Job Qualifications:

  • Bachelor’s degree is required.
  • Ability to work with Microsoft Word/Excel and with EMR/EHR systems is required.
  • 3+ years of management experience is required with experience in a medical or behavioral health practice preferred.
  • Ability to multi-task and handle multiple operational facets is required.
  • Ability to travel to all Clearwave locations.
  • Passion for customer service and helping patients is required.
  • Excellent communication skills and the ability to work well with a team, as well as completing individual work is required.
  • Analytical – ability to manage, track and be accountable for Psychiatry KPIs
  • Strong work-ethic, self-motivator, and ability to complete job duties with little oversight is required.
  • Demonstrates the ability to be flexible, organized and function under stressful situations

Job Type: Full-time

Pay: $70,000.00 per year
