Duties
- Provide empathetic listening to callers who are seeking therapy services
- Help callers understand Little Dove's therapy services
- Match callers to Little Dove therapists based on needs
- Convert callers into clients by following best referral management steps
- Answer and direct phone calls with professionalism and excellent phone etiquette
- Coordinate and schedule appointments, meetings, and client support
- Ensure client intake paperwork is complete
- Utilize excellent organizational skills to ensure smooth flow of the practice
- Provide administrative support to the office staff and management team
- Assist with project coordination and follow-up on action items
- Support with onboarding, hiring new staff, and implementing state guidelines
- Creatively manage and run social media accounts
- Spread head community engagement projects
- Perform data entry and maintain accurate records in computerized systems
- Develop office supply system and order supplies as needed
- Support with technology related needs
- Develop dashboard with practice manager and maintain them
- Answering the phone in real time during working hours
Requirements
- One years previous experience in an intake coordinator role preferred
- One year previous experience working in a mental health setting or in a setting serving parents and children
- Strong computer literacy, including proficiency in G-Suite and social media
- Excellent organizational skills and attention to detail
- Ability to multitask and prioritize tasks effectively
- Strong written and verbal communication skills
- Understanding on mental health needs for children
- Great people skills to ensure people feel safe and heard when calling for therapy
- Exceptional ability to stay organized and systematize processes

Hours:
- Monday-Friday
- Approximately 3 hours a day
- Hours are flexible as long as clients are followed up with consistently during the week
