Position Summary
We’re seeking a Board Certified Assistant Behavior Analyst (BCaBA) to serve as both a compassionate family guide and a proactive operational coordinator. This role is responsible for walking families from the first intake call through initial assessment authorization and connection with their ongoing BCBA, ensuring they feel heard, supported, and confident while also driving the logistics that get them into care swiftly and smoothly.
You’ll help families make sense of ABA services, understand how Tellos works, and feel genuinely cared for at every step. At the same time, you’ll move with urgency and precision to keep processes on track and prepare for a smooth handoff to our Clinical Operations Lead. You’ll be the person who listens, coaches, tracks, and gets things done: with heart and excellence.
What you will do
Family Intake & Education
Connect with new families interested in ABA servicesExplain who we are, what we do, and how ABA may be able to support their child
Listen deeply to family needs, concerns, and hopes, and validate their experience
Guidance & Next Steps Coordination
Walk families through the process: from inquiry to initial assessment authorizationSubmit and track authorization and insurance paperwork with attention to detail and urgency
Maintain close, empathetic communication: answer questions, ease anxieties, and provide timely updates. Clarity is key.
Internal Coordination & Handoff
Collaborate with our Clinical Operations Lead for a smooth transition once the assessment is authorizedEnsure handoff details are clearly documented and communicated
Anticipate and resolve any blockers to avoid delays in care
Operations & Organization
Stay on top of due dates, insurance follow-ups, and submission statusesUse tracking tools (i.e., CRM) to keep family journeys moving forward
Maintain a high level of responsiveness and follow-through across all touchpoints

What you will need
2 years of experience as a BCaBA, certification in good standing
Experience with insurance authorization PREFERRED
Experience with ENSORA a plus!
Excellent organizational and operational skills
Ability to move quickly and prioritize well in a fast-paced environment
Comfort with technology tools used for tracking and communication
