Referral Intake Coordinator
About the Role: The Referral Clerk/File Opener is primarily responsible for the intake of new non-judicial foreclosure referrals for Prestige Default Services, ensuring accurate and timely setup in the case management systems of record. This position plays a key role in supporting the foreclosure process by managing the initial file opening workflow. In addition to handling non-judicial foreclosure referrals, the Referral Clerk/File Opener also serves as back-up support for opening new referrals in other practice areas. As Referral Clerk/File Opener, you may be assigned to work on matters handled in any of the states and jurisdictions where the firm practices.

- Open new non-judicial foreclosure referrals in Foreclosure Solutions (FSI) and CaseAware, the case management systems of record
- Receive and process referrals submitted via email or through client systems such as LPS/BKFS/ICE and Tempo
- Maintain and update active case files in the firm’s database
- Interact with clients as directed to gather appropriate supporting referral documentation
- Respond to referral emails and client inquiries
- Compile and upload all relevant referral documentation provided by the client and identify any missing documentation
- Complete SCRA, PACER, and Deceased Borrower searches as assigned
- Complete basic and accurate data entry of key loan and referral information.
- Regularly maintain a busy referrals email inbox, ensuring all referrals are opened in the case management system on the day in which they are received.
- Assign title vendor based on internal and client-preferred vendor instructions
- Order title and assist with follow-up on delayed title orders
- Calendar SLA deadlines in accordance with client and internal expectations
- Perform internal and client system updates to reflect accurate file status and task progress
- Maintain workflow by following policies and procedures, reporting needed changes
- Perform additional tasks as assigned

Preferred Qualifications and Skills:
- Prior experience in foreclosure, mortgage servicing, title, escrow, and/or real estate law is beneficial
- Familiarity with case management systems, particularly Foreclosure Solutions (FSI) and CaseAware, is strongly preferred
- Experience working with client platforms such as LPS/BKFS/ICE and Tempo is a plus
- Ability to read and interpret loan documents and supporting file documentation
- Communicate effectively with team members, both verbally and in writing, to understand goals and help execute plans
- Multitask, prioritize, and work efficiently from one task to the next with flexibility
- Proficiency with Microsoft Excel, Word, and Outlook
- General understanding of legal procedures and foreclosure timelines
- Highly detail-oriented with strong emphasis on accuracy and data integrity
- Skilled in organization, multitasking, and prioritization in a high-volume environment
- Ability to maintain confidentiality and demonstrate sound judgment
- Capable of identifying issues, collecting and analyzing relevant data, and drawing valid conclusions
- Comfortable navigating multiple platforms and updating time-sensitive data across systems
Work Location & Schedule
This position is based in the office. However, a hybrid work schedule may be available after an initial performance review period in the office and the successful achievement and consistent maintenance of key performance metrics, subject to ongoing management review and approval. The regular work schedule for this position is 40 hours per week, Monday through Friday (daytime hours), with occasional additional hours or overtime as necessary.

Pay: $21.00 - $25.00 per hour
