Job Description:
Department(s) subject to change in order to ensure operational coverage.
Essential functions include, but are not limited to:
- Provide administrative support to assigned departments and associated functions as requested (including but not limited to related events, functions, programs, meetings, etc.)
- Organize, maintain and manage office files, bulletin boards, incoming and outgoing correspondence, scanning and photocopying, ordering office supplies and equipment, catalogs, calendars, travel schedules and accounts, mail, and other related tasks associated with each department
- Assist with coordination of faculty recruitment, promotion, and tenure related activities as needed by departments served
- Assist with course related activities to include but not limited to scheduling, descriptions, capstone assessments, examinations and handouts, textbook orders, preparation of materials, etc.
- Coordinate and support maintenance of related budgets, purchasing cards and applicable reports for assigned departments
- Serve as liaison with internal and external agencies
- Assist chair(s)/program director(s) in recruitment of prospective students (coordinate department communications, produce and distribute marketing materials, maintain applicable webpages and social media accounts, coordinate student visits and recruitment events with the Office of Admission)
- Make arrangements for meetings and special functions including meals, refreshments, and facility support
- Maintain applicable alumni records, graduate school information, internship information, and other data related to assigned departments and associated functions
- Assist students with graduation requirements
- Welcome visitors and assist with needs
- Assist new faculty in on-boarding process
- Hire, train, and supervise student workers as designated to the department
- Serve as a building ambassador and maintain relationships with leaders in facilities - help provide communication links / liaison between the physical plant and building occupants
Specific to Education:
- Maintain and disseminate Education undergraduate and graduate students' program and licensure progress data for review at matriculation, program gates, and through job placement.
- Support the Director of Assessment and Licensure and Director of Field Placement and Outreach in maintaining, adjusting, and collaborating with IT the Education department's electronic assessment system (SL&L).
- Assist the Director of Assessment and Licensure to generate and submit the Ohio required CPAST data report annually.
- Complete the state required PSTP (pre-service teacher permit) including fingerprinting for all students/teacher candidates.
Requirements:
Requirements include:
- An associate's degree or higher is required; a bachelor's degree is preferred.
- 1-3 years of relevant experience.
- Working knowledge and experience using Microsoft Office software, specifically proficient in the use of Outlook, Word, Excel and PowerPoint with the ability and desire to learn additional software applications as necessary.
- Experience with Ellucian Colleague/Datatel and/or course management systems (SL&L/Via/Watermark) is preferred.
- Demonstration of excellent organizational skills with the ability to prioritize and manage multiple tasks simultaneously with frequent interruption.
- Demonstration of the ability to work both independently with minimal supervision, as well as collaboratively.
- Standard office hours are 8:00 a.m. to 5:00 p.m. or as determined by the department chair(s) as appropriate for the nature of the position.
- Work primarily occurs in an office setting but may also require participation at meetings and events across campus.
- Some evening and weekend hours required on occasion.
- Occasional travel to local school districts or school partners.
- A valid driver's license is required; must meet required insurance qualifications found in Wittenberg Motor Pool policies and procedures. If license is from out of state, successful candidate will need to obtain a valid Ohio driver's license within 30 days of hire date.
