WORK SCHEDULE
Home Care Staffing Coordinator - Full Time 8am - 5pm

Home Care Scheduler is responsible for answering and responding to all telephone calls related to staff and client schedules. Schedules field staff, giving pertinent client information, providing directions and other appropriate assistance to staff. May assist in recruitment, selection, and orientation of agency field staff employees. Organizes and sets priorities to manage the daily/weekly workload. The priority is always staffing cases and responding to residents and clients. Responsible for field staff monthly schedules and assisting with payroll/billing preparation.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Use computer and scheduling software to schedule direct care field staff.
- Ensures accuracy of employee/client schedules.
- Manage and organize the daily/weekly work requirements.
- Assign work schedules to field employees with RN Case Manager/Administrator supervision.
- Complete monthly schedules for all field staff prior to month’s end.
- Provides Staffing Coordinator functions including on call as designated.
- Manages labor costs by ensuring minimal usage of non-billable over-time.
- Answers incoming telephone calls promptly in a polite and pleasant manner at all times.
- Obtain appropriate information from prospective clients or healthcare facilities to complete requests for private duty or staff relief personnel as needed.
- Complete Intake Form and communicate information promptly to RN Case Manager and Administrator.
- Communicate pertinent information to the Administrator, RN Case Managers, field employees, other office personnel, other health care facility staff, clients or families in a timely and organized manner.
- Resolves employee/client problems with input from the RN Case Manager/Administrator.
- Prepares concern forms, obtaining all related information regarding resident/client and/or family complaints and concerns, and reports them to the RN Case manager/Administrator.
- Maintain communication with all clients, client families, facilities, trust officers, physician offices; refer to Administrator or RN Case Manager when need arises.
- Conduct orientation in conjunction with the Administrator/RN Case Manager of all new field staff instructing them in the requirements of this position and orientation to the facilities.
- Assist with the maintenance of client files.
- Refers all clinical issues or questions to the RN Case Manager or RN Case Manager On Call.
- Evaluate and provide input for field staff employees if required by RN Case Managers.
- Document all employee and client incidents, providing reports to the Administrator or designee.
- Interviews and completes hiring process for Home Care Caregivers in conjunction with the Human Resource Generalist and/or Administrator.
- Supervises Companions. Prepare disciplinary/counseling reports, conducts counseling sessions or communicates information concerning issues/complaints up to and including termination.
- Performs yearly evaluations for the Home Care Companions.
- Recommends disciplinary action of C.N.A.’s to the Administrator. Under supervision of Administrator, may prepare disciplinary/counseling reports, conducts counseling sessions or communicates information concerning issues/complaints.
- Assists Administrator with employee recognition events including holidays, birthdays and anniversary recognition. Maintains recognition programs.
- Must interact courteously, tactfully and politely with managers, co-workers, residents, family members, vendors or associates to preserve productivity and moral.
- Must be able to work on weekends if required
WORK SCHEDULE
Monday - Friday, 8:00AM - 5:00PM Some additional hours including evenings and weekends may be required to meet the business needs of the position.
QUALIFICATIONS
- HS Diploma or equivalent
- Several years of related experience and/or training; or equivalent combination of education and experience.
- Experience preferred in geriatric care, SNF, AL or Home setting is preferred.
- Certified as a CNA is preferred
