Job Summary:
Head to Toe Chiropractic is seeking a compassionate and highly organized Patient Care Coordinator to join our dynamic team. The ideal candidate will serve as the first point of contact for our patients, ensuring a seamless experience from the initial appointment scheduling through to their continued care. This position requires a detail-oriented individual with exceptional customer service skills, strong communication abilities, and a passion for healthcare. In addition to administrative tasks, this role involves direct patient care and assisting with various chiropractic modalities.
Key Responsibilities:
Patient Interaction:
- Greet patients warmly upon arrival, providing excellent customer service and ensuring a positive, welcoming experience.
- Answer phone calls, schedule appointments, and manage patient inquiries.
- Educate patients on the benefits of chiropractic care and guide them through their treatment plans.
- Ensure that patients understand their care plan, appointments, and financial responsibilities.
Administrative Duties:
- Maintain accurate and up-to-date patient records in compliance with HIPAA regulations.
- Process insurance verification and manage billing inquiries.
- Assist in managing patient scheduling, ensuring optimal use of clinic resources.
- Prepare patient intake forms, treatment consent forms, and other required documentation.
Direct Patient Care & Assistance with Modalities:
- Assist patients with completing pre-treatment forms and intake assessments.
- Help patients prepare for chiropractic treatments and assist them in comfortable positioning for specific procedures.
- Support the chiropractor during treatments by providing assistance with modalities such as:
- Therapeutic Ultrasound
- Electrotherapy (TENS units)
- Hot/Cold Therapy
- Stretching and Exercise Instruction
- Ensure that patients follow prescribed home care routines by providing instructions and demonstrations as needed.
- Assist in patient mobilization and transferring where necessary.
Support the Clinical Team:
- Work closely with the chiropractic team to ensure timely and efficient patient care.
- Assist in preparing treatment rooms and ensuring that supplies are stocked and maintained.
- Coordinate patient follow-ups and manage reminders for appointments and treatments.
Customer Service & Problem Resolution:
- Address patient concerns with professionalism and empathy.
- Resolve scheduling conflicts and ensure patient satisfaction.
- Handle inquiries about treatment options, insurance, and payment plans.
Qualifications:
Education & Experience:
- High school diploma or equivalent (Associate's degree or relevant certifications preferred).
- Previous experience in healthcare administration, chiropractic settings, or a customer service role is highly preferred.
- Experience with chiropractic modalities and patient treatment assistance is an asset.
Skills & Abilities:
- Strong organizational and multitasking skills.
- Excellent communication skills, both verbal and written.
- Proficiency in office software (Microsoft Office Suite, scheduling software, etc.).
- Knowledge of insurance verification and billing processes is a plus.
- Ability to maintain confidentiality and comply with HIPAA regulations.
- Experience or comfort in assisting with physical therapy techniques, chiropractic adjustments, and modalities.

Pay: $15.00 - $25.00 per hour
