About Job

The Intake Coordinator serves as the first point of contact for prospective clients, patients, or residents. This role is responsible for gathering essential information, explaining services, verifying eligibility, and ensuring a smooth onboarding process. The Intake Coordinator works closely with internal departments to coordinate appointments, collect necessary documentation, and maintain accurate records while providing a high level of customer service.

Key Responsibilities

  • Serve as the initial contact for incoming inquiries via phone, email, or in person.

  • Conduct intake interviews to gather personal, financial, and service-related information.

  • Explain the organization's programs, services, and eligibility criteria to potential clients.

  • Verify insurance, financial eligibility, or other qualifying requirements as applicable.

  • Schedule appointments and coordinate with appropriate staff to ensure timely follow-up.

  • Maintain accurate and confidential client records in compliance with company policies and applicable laws.

  • Follow up on incomplete applications or missing documentation.

  • Communicate clearly and professionally with clients, families, and referral sources.

  • Prepare and distribute intake reports to management as required.

  • Provide administrative support to the department as needed.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.

  • Previous experience in an intake, admissions, customer service, or administrative role preferred.

  • Strong verbal and written communication skills.

  • Proficiency with Microsoft Office Suite and data entry systems.

  • Ability to handle sensitive and confidential information with discretion.

  • Strong organizational skills and attention to detail.

  • Ability to work independently and as part of a team in a fast-paced environment.

Work Environment

  • Office environment with frequent phone and computer use.

  • May require occasional evening or weekend availability depending on organizational needs.

Physical Requirements

  • Ability to sit for extended periods.

  • Ability to lift up to 20 pounds occasionally.
