Client Care Coordinator (Part-Time, Hybrid)

16–24 hours/week | Washington, DC

Salary Band: $18,432 - $27,648 ($24/hour @ 16-24 hours/week)


The Sterling Group is seeking a Client Care Coordinator to join our administrative team in a part-time hybrid position. This dynamic role is designed for someone who thrives in a client-facing environment and has a strong sense of organization, communication, and initiative. As the first point of contact for many of our clients, you will play a vital role in shaping their experience and ensuring a smooth journey from intake to discharge.


About the Role


This is a hybrid administrative position based in Washington, DC, with flexibility for remote work. You will be responsible for ensuring a seamless, supportive, and efficient process for both clients and clinicians. You’ll manage client communications, intake coordination, administrative follow-ups, and billing processes while also supporting the physical office environment.


Key Responsibilities


  • Serve as the first point of contact for new client inquiries (phone and email)
  • Manage the lead-to-intake process, including matching clients with appropriate clinicians
  • Provide exceptional customer service and support throughout the client journey
  • Oversee billing and payments, including insurance claims
  • Follow up with clinicians on administrative tasks and documentation
  • Maintain and update records related to client discharges
  • Handle light office logistics, including supply management, mail, and basic upkeep
  • Perform basic reporting and data entry/management


Qualifications

  • Strong interpersonal and written communication skills
  • Excellent attention to detail and organizational abilities
  • Ability to manage multiple priorities and resolve issues
  • Prior experience in a client-facing or administrative role (mental health or medical setting preferred)
  • Comfort with billing and insurance coordination
  • Proficiency with or willingness to learn CRM and scheduling platforms
  • Self-starter with a warm, genuine, and professional demeanor
