Purpose of this position:

The Practice Manager is responsible for the day-to-day operations of one or more health center sites within the FQHC. This includes oversight of patient flow, staffing, scheduling, provider support, customer service, and operational performance. The Practice Manager ensures efficient, high-quality, and patient-centered care in alignment with FQHC regulations, PCMH standards, and value-based care models.

Responsibilities include, but not limited to:

Operational Oversight

  • Manage daily clinic operations, including patient access, scheduling, front desk, and medical assistant workflows
  • Monitor patient flow and resolve bottlenecks to maximize provider productivity and patient satisfaction
  • Ensure compliance with HRSA, UDS, and PCMH guidelines
  • Maintain site readiness for audits, inspections, and quality reviews

Leadership & Staff Supervision

  • Supervise and support front desk staff, medical assistants, and other clinic personnel
  • Conduct regular staff meetings, 1:1s, and performance evaluations
  • Coordinate staffing schedules and manage time-off requests
  • Promote a positive team culture focused on service excellence

Quality Improvement & Compliance

  • Partner with QI/QA teams to implement quality metrics (e.g., HEDIS, UDS, VBC targets)
  • Participate in root cause analysis, incident reporting, and corrective action plans
  • Lead or support chart audits and workflows for accurate documentation and billing

Patient Experience & Access

  • Ensure patients receive timely, courteous, and culturally competent care
  • Address patient complaints or service recovery needs
  • Track no-show rates, cancellations, and scheduling practices

Financial & Reporting

  • Monitor clinic budgets, supply costs, and productivity benchmarks
  • Support accurate encounter capture, charge entry, and billing workflows
  • Run reports from EHR and practice management systems to support operational analysis

Collaboration & Communication

  • Serve as liaison between site staff and central administrative teams (HR, IT, Billing, QI)
  • Participate in leadership and strategic planning meetings
  • Implement and communicate new policies, workflows, and initiatives

Qualifications:

Bachelor’s degree in healthcare administration, Business or related field required (Master’s preferred).

  • Minimum 3–5 years of supervisory experience in ambulatory care or FQHC setting
  • Strong knowledge of EHR systems (e.g., Epic, eClinicalWorks, NextGen)
  • Familiarity with FQHC regulations, sliding fee scale, and HRSA requirements
  • Excellent organizational, leadership, and interpersonal skills
  • Bilingual (preferred, based on patient population)
