Office Coordinator for Counseling & OSAA

About Job

The Division of Student Affairs seeks an Office Coordinator to provide administrative responsibilities and front office support to ensure efficient operation for Counseling Services and the Office of Student Access and Accommodations (OSAA); this position is highly visible, in-person, and centered on strong customer service skills.

Administration and Collaboration (80%)
  • Demonstrate a strong sense of urgency, excellent interpersonal and communication skills, and the ability to create a warm, welcoming environment for all members of the community.
  • Provide administrative support, including managing calendars, scheduling appointments, and coordinating meetings and events.
  • Serve as the initial point of contact for inquiries and requests, both in person and via phone, email, and other communication channels.
  • Coordinate student appointments, referrals, and follow-up services, liaising with appropriate campus departments and resources as needed.
  • Assist with drop-in appointment inquiries and triage urgent student needs to professional staff effectively and calmly.
  • Develop and maintain department-related databases, documents, and folders using Titanium, Microsoft Office 365, and other university portals.
  • Maintain and regularly update departmental webpages with current and accurate resources and information.
  • Support the preparation of reports and completion of administrative projects.
  • Organize and maintain office manuals and electronic filing systems.
  • Manage office supplies, equipment, and inventory, ensuring adequate stock levels and overseeing procurement processes as necessary.
  • Receive, log, and follow up on PHQ-9 assessment forms in coordination with Student Health Services.
  • Attend staff meetings and record accurate meeting minutes.
  • Assist in compiling monthly and annual reports, maintaining statistical data, and updating budget databases.
  • Coordinate with staff across all three campuses to streamline and support centralized office services and operations.
  • Collaborate with other administrative staff members and across campus departments to facilitate efficient workflow and information sharing.

Student Experience (20%)
  • Creates and coordinates mental health and disability related promotion and outreach
  • Creates and updates campus bulletin boards and accompanying brochures monthly
  • Supervises student workers to assist with campus wide health promotion materials and wellness events
  • Recruit, hire, train, and supervise student workers to assist with various programming tasks
  • Provide guidance, instruction, and ongoing support to student workers to ensure they understand their
roles and responsibilities and perform effectively
  • Monitor student worker performance, provide feedback, and address any issues or concerns as they arise
  • Create and manage social media content
  • Assist with the planning, coordination, and execution of special events, programs, and initiatives such as
Orientation and Commencement
  • Contributes to sustaining and enhancing an inclusive working and learning environment
  • Other duties as assigned
Requirements:

Required:

  • Bachelor's degree required
  • Previous administrative assistance experience required, preferably in higher education
  • General understanding of FERPA and HIPAA
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other standard office
software applications
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage
multiple deadlines effectively
  • Excellent communication and interpersonal skills, with the ability to interact professionally with
diverse stakeholders
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • Demonstrated customer service orientation and ability to aid and support students, faculty, and staff
  • Requires a growing understanding of the educational, cultural and social needs of a domestic, first
generation, adult learner and international student community
  • Ability to help triage students expressing strong emotions

Physical Requirements:
  • Typical office or administrative working conditions. Staff is not exposed to adverse environmental
conditions. Work is primarily sedentary in nature; there are no special physical demands
  • Must be able to lift and carry up to 5-10 lbs
  • Ability to be physically in attendance at designated worksite during scheduled work hours
  • Must be able to talk, listen and speak clearly on telephone
  • Must be able to be constantly exposed to weather conditions
