The Matter Intake Coordinator supports the firm's Multifamily Housing Finance Practice Group and is responsible for the lifecycle management of the practice group’s client and matter data and processes. The Matter Intake Coordinator will play a critical role in the efficient and effective management of new client matters, maintaining the integrity of the practice group’s information and data related to client matters, ensuring compliance with firm policies and procedures, and providing administrative support for the team.

Hiring Salary Range

The Matter Intake Coordinator supports the firm's Multifamily Housing Finance Practice Group and is responsible for the lifecycle management of the practice group’s client and matter data and processes. The Matter Intake Coordinator will play a critical role in the efficient and effective management of new client matters, maintaining the integrity of the practice group’s information and data related to client matters, ensuring compliance with firm policies and procedures, and providing administrative support for the team.
Essential Duties And Responsibilities
- Assure completion of core processes related to matter intakes and conflicts checks, including status tracking, attorney communication, and direct partnership with the Intake/Conflicts Teams.
- Submit new matter requests via Intapp and respond to inquiries from the Intake/Conflicts Teams as needed to ensure matters are opened in a timely manner.
- Ensure compliance with firm policies and procedures to include entering and validating matter and client permissions and restrictions.
- Research matters and clients to maintain completed profiles in Foundation as well as to provide reporting for attorneys/practice management to provide accurate information to sponsors, originators, and guarantors.
- Streamline processes and platforms to provide value-added services and needed solutions for attorneys and practice group leadership.
- Leverage knowledge to recommend enhancements to processes and system configurations to improve data collection and user experience.
- Regularly audit data in Foundation through reports and perform data cleanup to maintain accurate and relevant data.
- Provide additional administrative support to the practice group as assigned to include running routine reports, arranging travel, managing expense reports.
- Ability to maintain the confidentiality of firm data.

- Ability to adapt to change and balance competing demands while meeting deadlines.
- Demonstrated ability to recognize and react to situations with a sense of urgency and ownership while maintaining strong focus on customer service.
- Strong proficiency with Microsoft Office, particularly Excel and information management.
- A Bachelor’s degree and/or any combination of experience, education, or training that demonstrates the ability to perform the duties of the position.
- Two (2) to four (4) years of experience in a legal or professional services firm.
- Experience working with finance practices is preferred.
