About the Role:

We are seeking a compassionate and detail-oriented Patient Care Coordinator to join our Behavioral Health team in Seattle, WA. This is a full-time, in-person role where you’ll be a key point of contact for patients, families, and care providers. Your work will help ensure seamless coordination of behavioral health services and high-quality patient experiences.

Key Responsibilities:

Patient Intake and Records:

  • Assist with new patient intake processes, including scheduling appointments and completing necessary documentation.
  • Verify insurance eligibility and benefits; assist with prior authorizations.

Patient Records Management:

  • Maintain accurate and confidential patient records, including electronic health records (EHR) and paper files.
  • Ensure compliance with legal and ethical standards for data security and confidentiality.

Scheduling and Coordination:

  • Manage appointment schedules for therapists, ARNPs, and other clinical staff.
  • Communicate appointment details with patients and provide necessary reminders.

Communication and Correspondence:

  • Handle phone calls, emails, and inquiries from patients, families, and external parties in a professional and empathetic manner.
  • Maintain clear and timely communication with clinical staff regarding appointments, cancellations, and updates.

Front Desk Reception:

  • Greet patients and visitors warmly, creating a welcoming and comfortable atmosphere in the waiting area.
  • Direct patients to appropriate areas, notify clinicians of patient arrivals, and manage check-in and check-out processes.

Administrative Assistance:

  • Provide administrative support to clinicians, including scheduling meetings, preparing documents, and managing correspondence.
  • Prepare and organize documents for patient sessions, meetings, and workshops, ensuring all necessary materials are available for clinical staff.

Billing Support:

  • Assist with billing processes, including verifying insurance coverage and processing payments.
  • Collaborate with billing personnel to ensure accurate and timely billing procedures.

Confidentiality and Compliance:

  • Adhere to strict confidentiality guidelines and ethical standards in handling patient information and sensitive materials.
  • Stay informed about HIPAA regulations and other relevant legal requirements.

Collaboration and Teamwork:

  • Serve as the primary liaison between patients, providers, and external partners.
  • Collaborate closely with clinicians and administrative staff to support patient care workflows.

Work Environment:

The Patient Care Coordinator will work in person at the center, where they will interact with patients, clinicians, and administrative staff. The schedule is flexible, with working hours between 8:00am - 7:30 pm, Monday through Friday in person.

Required Qualifications:

  • High school diploma or equivalent; associate's degree or relevant certification in administrative support is a plus.
  • Proven experience in administrative support roles, preferably in a healthcare or mental health setting (1+ years is preferred).
  • Experience working with Electronic Health Record (EHR) systems is required.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficiency in office software (e.g., Microsoft Office, scheduling software, EHR).
  • Empathetic and patient demeanor when interacting with patients and visitors.
  • Attention to detail and a commitment to maintaining accurate records.
  • Ability to handle sensitive information with confidentiality and professionalism.

Compensation and Benefits:

  • Hourly Pay: $22.00 – $25.00 (based on experience)
