Position Overview

The Customer Intake Coordinator is the first point of contact for all incoming phone calls to the company. This role is responsible for answering calls promptly and professionally, identifying the reason for each call, and routing it to the appropriate department, team, or individual. You’ll ensure no inquiry gets lost in the shuffle and help maintain our standard of responsiveness and reliability. While this role is primarily phone-focused, it serves a vital administrative function in supporting the overall customer and internal team experience.

Key Responsibilities

  • Answer and manage all incoming calls across the company
  • Listen carefully to understand the customer’s needs and determine the best internal contact or department to route the call
  • Use internal directories, call lists, and software systems to ensure accurate routing and handoffs
  • Take messages or log call details for follow-up when the correct contact is unavailable
  • Maintain a calm, friendly, and professional tone in all interactions
  • Act as a friendly front door to the company, helping callers feel heard and supported
  • Occasionally assist with minor admin tasks related to call logs or team coordination (as time allows)

Qualifications

  • Experience in customer service, reception, or administrative support preferred
  • Excellent verbal communication and listening skills
  • Strong ability to multi-task and stay calm under pressure
  • Comfortable using phone systems and basic computer tools
  • Friendly, proactive, and team-oriented mindset
  • Reliable and punctual with a commitment to consistent call coverage

Work Schedule

Full-time, Monday–Friday

Typical hours: 8:00 AM–4:30 PM (schedule to vary depending on business needs)
