JOB DESCRIPTION
The Administrative Assistant II/Counselor I will assist the psychiatric services providers and clients, specifically with pharmacy needs, scheduling appointments, and communication with medical providers. The incumbent will assist with patients’ vitals prior to appointments and perform general program administrative duties, including, but not limited to, track appointments, maintain administrative and statistical data, and other general office duties.

COMPENSATION
$25.60 - $34.21 per hour. Nonexempt; 20 hours/week; Eligible for Overtime. Compensation based on education and experience.

REPORTS TO
Clinical Services and Program Development Officer/Psychiatric Services Supervisor
QUALIFICATIONS
Required: High School Diploma required, with two years of clerical experience including word processing, spreadsheet and database management. Applicant should be dependable, well-organized and have excellent interpersonal skills; good written and oral communication skills. Intermediate level experience with Microsoft Word, Excel and Outlook.
Drivers license for at least two years and driving record acceptable to insurance carrier.
Valid California driver's license; experience driving for a minimum of 2 years; auto in safe operating condition; auto liability insurance; good driving record; criminal record clearance; proof of authorization to work in the United States as required by Immigration and Reform Act of 1986.
Preferred: AA degree. Knowledge in the medical field. Medical office or Medical Assistant experience.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Performs general program administrative duties. Examples include, but are not limited to, compile, file, mail and maintain administrative and statistical data, including, petty cash, tracking units of service and calendars, and business receipts.
  • Assists Psychiatric Services staff and patients, including but not limited to: Pharmacy needs/contacts, scheduling appointments, appointment reminders, coordinating patients’ transportation, communication with other medical providers, and reminding patients of medication prescriptions.
  • Collaborates and communicates with patients and healthcare providers.
  • Obtains vital signs for patients under the supervision of psychiatric providers and/or nurses.
  • Attends and documents patients’ appointments as requested by Program staff and psychiatric services staff.
  • Manages and monitors Telehealth platform (ZOOM or other) for psychiatric and other staff.
  • Maintains an adequate supply of office, medical, and other supplies.
  • Greets clients/patients in a welcoming manner, answers incoming calls, directs, or takes messages.
  • Ensures compliance with licensing and other regulations.
  • Types and dispatches general correspondence, reports and evaluations. Dispatches and distributes fax messages and makes copies to keep on file.
  • Maintains general office files, office equipment, and patient files.
  • Collects and enters program data into databases and creates statistical reports.
  • Develops forms, flyers and updates and maintains current forms.
  • Completes Medi-Cal documentation in EMR/Avatar as needed.
  • Actively promotes safety through the continuous monitoring of the environment and active engagement of patients to minimize unsafe situations and injuries.
  • Provides transportation for patients if requested.
  • Other duties as assigned.
PHYSICAL REQUIREMENTS
Ability to: operate a motor vehicle; climb stairs; possess good communication skills; meet the requirements of the classification and have mobility, vision, hearing and dexterity levels appropriate to the duties to be performed; see well enough to read data on a computer screen and text in written documents; perform extensive computer keyboard operations. Capable of the following extended activities: walking, standing, sitting, climbing stairs. Capable of the following intermittent activities: stooping, kneeling, lifting 25 pounds or more and bending in the performance of infrequently performed office duties.
