Job Details:
Purpose
This position will provide high-level administrative support to the Department of Educational Psychology with a customer service emphasis as a staff team member in a large academic department. Ensure consistent application of all departmental, University, and UT systems policies and procedures.
Responsibilities
  • Procurement, Purchasing, & Payments: Responsible for Department purchasing, procurement, and payments. Serve as the Department's procard holder - responsible for making departmental purchases, collecting receipts and supporting documentation. Draft prior approval purchasing paperwork including Purchase Orders (Official Occasion Expense Forms, Purchase Orders, contracts with vendors, etc.). Responsible for creating payment vouchers (VP1, VP2, and VPE documents) to pay vendors or reimburse UT employees for business expenses.
  • Travel: Serve as the Department's main contact for faculty, student, and visitor travel. Responsible for securing hotel accommodations for official visitors, creating prior approval travel paperwork for visitors, assisting faculty with their Travel Authorization Requests, and answering questions regarding University and Department travel policies. Create VE5, VE6, and VP5 travel documents. Ensure that accurate and appropriate receipts and supporting documentation are submitted to the Office of Accounting for reimbursements.
  • Department Projects: Coordinate support for internal-funded projects to include issuing participant incentives and reconciliations.
  • Asset Inventory: Maintain departmental equipment inventory database. Conduct annual equipment inventory and prepare reports for submission.
  • Department Customer Service: receive deliveries, retrieve mail and open department suites.
  • Cash Advance: Manage cash advance requests, supporting documentation and reconciliations
  • Business Contracts: assist faculty with submission and track expiration timeline.
  • Other Duties: Other related duties as assigned.
Required Qualifications
  • Bachelor’s degree plus three years’ experience at the Administrative Assistant level, or High School Diploma/GED plus seven years of work experience.
  • A professional and friendly demeanor with faculty, staff, students, and the public.
  • Excellent written and oral communication.
  • Accuracy in all phases of work.
  • Ability to work independently and meet deadlines with limited supervision.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
  • Demonstrated ability to work as a member of a team in a dynamic environment and a commitment to service excellence.
  • Knowledgeable of university resources, policies, and business systems.
  • Knowledgeable of the University’s procurement, payment, and audit processes.
  • Proficiency in Excel, FRMS, UT Direct and DEFINE.
Salary Range
$50,000 + depending on qualifications
Working Conditions
