Intake Coordinator – Now Hiring – Sioux Falls / Rapid City

We are seeking a compassionate, organized, and detail-oriented Intake Coordinator to join our growing team. As the first point of contact for clients seeking services, this role is essential in creating a welcoming and supportive experience from the very beginning.

The Intake Coordinator manages all aspects of new client intake—including responding to inquiries, gathering essential information, scheduling appointments, and ensuring a smooth transition into care. The ideal candidate has excellent communication skills, can multitask effectively, demonstrates sound judgment, and approaches tasks with professionalism and common sense.

Position Details:

  • Schedule: 35–40 hours per week
  • Compensation: Based on experience

Key Responsibilities:

  • Respond promptly and professionally to client inquiries via phone, email, and online platforms
  • Conduct initial screenings to collect demographic, insurance, and basic clinical information
  • Schedule intake appointments and assign clients to appropriate providers based on their needs and availability
  • Maintain accurate and confidential client records in compliance with HIPAA and organizational policies
  • Coordinate closely with clinicians and administrative staff to support a seamless intake process
  • Monitor pending intakes, incomplete documentation, and client waitlists, following up as needed
  • Perform general office duties and support administrative tasks as necessary

Qualifications:

  • High school diploma or equivalent required
  • Experience in a mental health or healthcare setting strongly preferred
  • Strong organizational and time management skills
  • Excellent interpersonal and communication abilities
  • Ability to maintain confidentiality and handle sensitive information with care
  • Proficient in computer systems and electronic medical records (EMR) software
  • Must be reliable, able to multitask, and exercise sound judgment
