About Job

A boutique probate law firm in Pasadena is seeking a full time Intake Coordinator to take a significant role in overseeing the screening and scheduling of potential new clients (PNCs) with various attorneys. This position requires being comfortable speaking to clients, having the ability to listen thoroughly and take extensive and detailed notes. This ideal person must have excellent customer service skills, great grammar, and a professional demeanor. This position will work closely with the Marketing Team, Attorneys and Paralegals to maintain schedules and updates on the status of cases. Training will be provided.

Previous legal and administrative experience preferred as well as working with a CRM. Experience working with Excel and Microsoft Office Suite required.

Skills:

Experience in Excel, Microsoft Office, Proficient Notetaking and Scheduling. Experience in a law office is preferred.

Potential New Client Intake Coordinating:

- Answer and screen all incoming calls and emails related to PNCs

- Coordinate and schedule appointments, as well as confirming the appointments

- Keep up-to-date tracking sheet, noting contact information, dates, and retainer status

Administrative Support:

- Calendar meetings

- Update and maintain various excel spreadsheets regarding marketing, referral sources, VIPs, etc

- Telephone calls and follow up emails

This position will involve a 40-hour commitment, Monday-Friday.
