Position Summary

Neuhaus Foot & Ankle is seeking a highly organized and proactive Wound Care Case Manager to support the administrative coordination of our advanced wound care services. This non-clinical role is essential to the success of our wound care program, ensuring timely insurance verification, accurate documentation, proper product ordering, and seamless communication between providers, vendors, and patients. The ideal candidate thrives in a fast-paced environment, understands the importance of compliance and billing workflows, and is passionate about supporting high-quality patient care behind the scenes.

This role also includes responsibility for key performance metrics, including tracking authorization timelines, product utilization, and documentation completion rates. In addition, the Wound Care Case Manager will have opportunities for professional development as the program grows.

Key Responsibilities

  • Insurance Verification & Authorization
    • Verify insurance coverage for advanced wound care procedures and biologic product applications
    • Obtain prior authorizations for procedures and products when required
    • Track payer guidelines and ensure adherence to documentation requirements for reimbursement
  • Documentation & Compliance Support
    • Review provider documentation for completeness and compliance with medical necessity guidelines
    • Flag missing or incomplete documentation and follow up with providers and staff
    • Maintain audit-ready documentation for internal reviews and payer audits
  • Product Coordination & Ordering
    • Place and track orders for skin substitutes, wound care dressings, and related supplies
    • Serve as the point of contact between the clinic and product vendors for inventory, delivery, and billing coordination
    • Monitor product usage and support inventory control
  • Vendor & Provider Communication
    • Act as liaison between providers, vendors, and support staff to ensure timely coordination of care
    • Respond to inquiries regarding product use, authorization status, or billing issues
  • Patient Communication & Coordination
    • Serve as a point of contact for patients regarding their wound care case
    • Help patients understand the insurance authorization process and estimated timelines
    • Coordinate follow-up appointments related to biologic applications or specialized wound care services
  • Workflow Optimization & Metrics Ownership
    • Assist in developing and refining processes to streamline wound care operations
    • Maintain tracking logs for patient cases, prior authorization status, and product utilization
    • Own and report on key performance metrics such as time to authorization, documentation compliance rate, and product order accuracy
    • Prepare periodic reports for internal leadership on wound care performance and opportunities


Qualifications

  • Bachelor’s degree in healthcare administration or business-related field
  • 2+ years of experience in a healthcare administrative role, preferably with wound care, dermatology, or procedural services
  • Knowledge of insurance guidelines and prior authorization processes for biologic products or procedures
  • Strong understanding of medical documentation, EMRs, and compliance workflows
  • Proficiency with payer portals, product ordering systems, and medical terminology
  • Detail-oriented with excellent organizational and follow-up skills
  • Comfortable communicating professionally with providers, vendors, insurance reps, and patients
  • Familiarity with CPT/ICD-10 codes and medical necessity documentation preferred
