As we expand our reach, we are looking for a compassionate, highly organized Intake Coordinator to serve as the first point of contact for prospective clients and help guide them through the initial steps of care.
Position Overview:
The Intake Coordinator plays a vital role in ensuring new clients have a welcoming and seamless onboarding experience. This position requires excellent communication skills, attention to detail, and the ability to balance administrative tasks with client-centered service. The ideal candidate is professional, personable, and thrives in a fast-paced, mission-driven environment.
Key Responsibilities:
- Serve as the first point of contact for all new client inquiries via phone, email, and web submissions
- Conduct brief intake screenings to gather information and determine client needs
- Match clients with appropriate clinicians based on specialty, availability, and insurance
- Schedule initial appointments and provide guidance on completing intake paperwork
- Track and follow up on inquiries and pending intakes to ensure timely scheduling
- Maintain accurate and up-to-date records in our Electronic Health Record (EHR) system
- Communicate effectively with both clinical and administrative teams
- Maintain confidentiality and adhere to HIPAA and practice policies
- Support continuous improvement of intake workflows and systems as the practice grows
Qualifications:
- Previous experience in a behavioral health, medical, or intake coordination setting preferred
- Strong interpersonal and communication skills
- Ability to manage multiple tasks and prioritize in a growing, dynamic environment
- Tech-savvy and comfortable learning new systems (experience with EHRs like SimplePractice is a plus)
- Detail-oriented with strong organizational skills
- Compassionate, professional, and client-focused
- Bachelor’s degree in Psychology, Social Work, Healthcare Administration or a related field is a plus
