The intake coordinator is responsible for providing customer service assistance to prevent and resolve problems linked with treatment services throughout TSS and the greater Atlanta community.
Minimum Qualifications, Education & Experience:
- 1 year of experience as an Intake Coordinator
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) (Required)
- One year of experience working in a behavioral healthcare environment (a plus)
- Bachelor’s Degree from an accredited college or university
- A minimum of one to three years of counseling experience in the social services industry with proven results is required; behavioral health is highly preferred.
- Experienced in customer service, scheduling, and referral processing in a social services environment.
- Possess an equivalent combination of education and experience and the ability to communicate clearly and concisely in writing and orally.
- Has general knowledge of community resources and the ability to aid in the company’s success and growth.
- Strong attention to detail and ability to meet tight deadlines
- Self-motivated
- Ability to multitask and prioritize well while under pressure
- Perform internal monitoring and auditing (a plus)
Duties Include:
Key Performance Indicators:
Referrals will be screened to determine eligibility for services
POE and client assignments are completed within 24 hours
Insurance will be verified by the 6th of each month
Office Maintenance
- Open and close the Atlanta office daily
- Retrieve referrals from BHL, fax, email, and phone
- Answer incoming calls and emails to Trinity Social Services and provide information regarding treatment services and employment
- Scan/Upload documents into CareLogic Document Library
- Ensure demographic and financial information within CareLogic is accurate:
- Process Releases of Information
Assessments
- Obtain demographic and treatment history information and indicate on the appropriate documents within CareLogic
- Receive phone calls, faxes, and emails regarding requests for treatment services from referral sources
- Complete the required documentation for Medicaid Clients
- Assign initial behavioral health assessments to Assessors based on availability and service area
- Enter referral statistics in the Management Worksheet
- Update the Referral Tracker tab in the Management Worksheet
- Assign assessments to the Assessor
- Upload authorization information into CareLogic for initial services
- Update staff relationships for assigned clients
- Receive consents via email and upload them into the Document Library
Hospitals/Hospital Discharge
- Receive phone calls from families, clinicians & discharge planners
- Document behavioral health hospital admissions on Memo to Chart with Hospital activity code
- Document hospital discharges on Memo to Chart with Hospital discharge activity code
Clinic
- Schedule appointments for the Psychologist, Nurse Practitioner, and Nurse
- Create orders for services associated with treatment at least two days before the clinic
- Review consent documents with clients in need of updates and/or missing consents, obtain signatures, scan/upload documents into the Document Library
- Obtain the Release of Information (ROI) for communicating with the PCP
- Review and obtain signatures on Treatment Plans
- Disseminate client surveys and retrieve completed surveys
Discharges
- Notify clinicians with inactive insurance of the need to close/transition the chart
- Conduct follow-up satisfaction surveys with individuals who have been discharged
- Complete administrative discharge for individuals with open charts but no services
- Complete discharge summary associated with the client

Pay: $16.00 - $18.00 per hour
