Administrative Assistant for Kinesiology and Psychology

(40 hours per week, 10 months a year)

Qualifications:

Requirements include: HS graduate/equivalent with some post high school education or college experience highly desirable, college degree preferred; 2-3 years’ administrative support experience; demonstrated skills in technical word processing and spreadsheets (MS Word, Excel, and Google forms); some scientific literacy and aptitude helpful; good interpersonal skills required for communication with students, faculty and staff.

Position requires:

Dependability, organizational skills, attention to detail, initiative, and ability to work independently with minimal supervision; flexibility and willingness to learn new procedures and computer applications a must; personal affirmation of the Christian mission of Westmont College and the Community Life Statement and adherence to its behavioral expectations. Responsibilities:

  • Maintains the departmental budget & financial records, processes invoices, and communicates directly with vendors when necessary.
  • Hires student workers which include training them in UKG, approving timesheets, and general communication regarding employment.
  • Performs general administrative support duties including: office and telephone reception, reproduction and archiving of syllabi, copying examinations and other documents, entering grades, composing correspondence, filing, and mailing.
  • Provides clerical and budget assistance to faculty with Westmont and external research grants.
  • Schedules appointments and department meetings, and populates and maintains faculty calendars.
  • Maintains and inventories office supplies.
  • Supports the work of faculty members by ordering classroom materials, copying handouts, proctoring exams, arranging travel; receptive to time-sensitive requests.
  • Organizes and maintains data on current students, alumni, and interns.
  • Assists in data gathering and archival work involving Departmental Program Review and Assessment.
  • Organizes the logistics for special events including new student orientation, guest speaker seminars, candidate visits, major honors presentations, and senior graduation events.
  • Works effectively with others by: sharing ideas in a constructive and positive manner; listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues; addressing problems and issues constructively to find mutually acceptable and practical solutions; addressing others by name in a respectful manner; and respecting the diversity of our work force in actions, words and deeds.
  • Keeps kinesiology and psychology websites up to date.
  • Other duties as assigned.

Reports to: Department Chairs of Kinesiology and Psychology

Job Type: Full-time

Pay: $18.70 - $22.91 per hour

Expected hours: 40 per week
