“About Us: EMPOWER is a dedicated behavioral health clinic committed to providing high-quality, person-centered care for individuals and families. Our collaborative and mission-driven team supports a diverse client population, and we are currently seeking a skilled and compassionate Intake Coordinator to serve as the first point of contact for new clients and referral sources.
Position Summary:The Intake Coordinator plays a vital role in ensuring timely, responsive, and supportive intake services for clients and families seeking care. This position requires excellent communication, organization, and critical thinking skills, as well as the ability to manage multiple systems and processes with professionalism and compassion.
Key Responsibilities:
- Conduct initial intake screenings with potential clients to assess service needs and eligibility.
- Send, track, and assist with completion of intake documents; identify and problem solve any client barriers to ensure documentation is complete and does not delay access to care.
- Schedule intake appointments and coordinate interpreter services as needed.
- Verify insurance eligibility and provide clients with clear information regarding benefits, deductibles, copays, coinsurance, and out-of-pocket maximums.
- Maintain accurate and up-to-date documentation in electronic health records (EHR) and other data management systems.
- Track and report intake-related data in Google Sheets and other platforms; support data integrity and compliance efforts.
- Meet agency benchmarks and performance goals related to intake timelines, quality, and client experience.
- Effectively and compassionately communicate with clients and families, supporting them through the intake process.
- Conduct initial information sessions with interested clients and external stakeholders.
- Learn and apply knowledge of community systems and resources to assist families with urgent or ongoing needs.
- Coordinate testing and appointment schedules for clinicians; ensure alignment with provider availability and client needs.
- Maintain proactive and timely communication with internal departments and leadership about client status, scheduling, and system needs.
- Use a variety of platforms and tools efficiently, including EHR systems, Gmail, Google Docs, Google Sheets, Adobe, copier/scanner, fax, and multi-line phone systems.
- Lift, carry, and organize documents, materials, and supplies of reasonable weight as needed.
- Complete other general administrative duties as needed
- Collaborate with supervisor to address job challenges, implement feedback, and support continuous improvement in intake processes.
Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree in healthcare, social work, psychology, or related field preferred.
- Experience in medical, mental health, or social services preferred.
- Proficiency with Gmail, Google Workspace (Docs, Sheets), Adobe, EHR systems, and office equipment.
- Strong verbal and written communication skills; bilingual/multilingual a plus.
- Ability to manage time, prioritize tasks, and work both independently and collaboratively.
- Sensitivity to cultural and socioeconomic differences; committed to equitable access to care.

Job Type: Full-time
Pay: $19.37 - $21.01 per hour
