Role Summary:

The Patient Care Coordinator (PCC) serves as the face of the center, ensuring a seamless patient experience from check-in to check-out. This role is responsible for front desk operations, customer service, and supporting sales by rebooking appointments and explaining services.

Key Responsibilities:

● Customer Service:

○ Greet patients warmly, manage check-ins and check-outs, and address inquiries.

○ Provide accurate and clear explanations of medical and aesthetic services.

○ Ensure all paperwork and consents are completed prior to treatments.

● Administrative Duties:

○ Schedule and confirm appointments, manage waitlists, and optimize the daily schedule.

○ Maintain patient records in the EMR system, ensuring HIPAA compliance.

○ Track and manage supplies needed for front desk operations.

● Sales and Promotions:

○ Promote memberships, loyalty programs, and aesthetic services.

○ Upsell additional services and products during patient interactions.

○ Collaborate with providers to ensure rebooking and retention goals are met.

Core Skills and Knowledge:

● Exceptional customer service and interpersonal skills.

● Strong multitasking and organizational abilities.

● Proficiency in scheduling software, EMR systems, and HIPAA compliance.

● Basic knowledge of medical and aesthetic services to educate patients effectively.

Tasks:

1. Manage patient flow, including check-ins, check-outs, and appointment confirmations.

2. Educate patients on available services and promotions.

3. Track and maintain the appointment schedule for efficiency and rebooking opportunities.

4. Ensure front desk and lobby areas are clean, organized, and welcoming.

5. Communicate patient needs to medical staff as necessary. Success in this role is measured by:

● Patient satisfaction scores (Measured by Patient Loyalty).

● Appointment rebooking rate.

● Membership conversion percentage.

● Accuracy of scheduling and documentation.

Required Knowledge and Abilities:

● Familiarity with medical and aesthetic services to confidently address patient questions.

● Ability to handle high-pressure situations with professionalism.

● Strong problem-solving skills for managing scheduling conflicts or patient concerns.

Job Type: Part-time

Pay: $17.00 - $20.00 per hour

Schedule:

  • Day shift

Work Location: In person
