W Aesthetics and Wellness’ Client Care Coordinator responsibilities include the greeting of all clients, answering phone calls, assisting clients with questions regarding services and products, booking all appointments, checking clients into the computer system and charging for services performed. Additionally, the Client Care Coordinator assists with transitional cleaning of the practice and relaxation area as needed.

· Minimum of 1 year experience in front desk or customer service/sales; experience in an aesthetic setting preferred
· OR 1+ year of working in a medical spa environment
· Ability to multi-task efficiently while being attentive to client needs in a fast-paced environment
· High attention to detail and accuracy
· Enjoy providing top-tier customer service while possessing a friendly and outgoing personality
· Ability to communicate clearly and effectively with clients, peers and managers
· Must be a team player with ability to take initiative independent of direct supervision
· Proficient with computer (word, aesthetic practice management software, etc.)
Duties and Responsibilities
· Be on time for shifts and maintain a consistent, regular attendance record
· Acknowledge and greet everyone who enters and leaves the medical spa
· Ensure that the check-in, check-out, and payment process is handled in accordance with company policy
· Manage appointments (scheduling, moving and canceling appointments)
· Answer and screen high-volume of inbound phone calls with gracious etiquette and with detailed descriptions of treatments, packages, services, and hours of operations.
· Provide accurate, appropriate and immediate responses to all requests by guests, ensuring complete guest satisfaction
· Properly open and close practice each day according to standard operating procedures
· Actively promote the practice, treatments, services, sessions and retail, as well as programs, promotions and/or discounts available
· Maintain complete confidentiality in all guest matters in accordance with company policy & HIPAA
· Maintain a clean, safe, fully stocked and well-organized work area
· Regularly attend, participate in and support training and staff meetings
· Assist in all areas of W operations as requested by management.
· Communicate to management any and all occurrences involving staff or guests in the spa that require attention

Pay: $18.00 - $23.00 per hour
