Responsibilities:

  • Communicate with field staff regarding schedules and pertinent client information.
  • Ensure all physician-ordered visits (e.g., re-certifications, skilled nurse visits, etc.) are scheduled and completed.
  • Maintain employee/client calendars in the agency database daily, ensuring all shifts/visits are staffed.
  • Notify Physicians when home health aide hours are incomplete as ordered.
  • Professionally respond to inquiries from staff, clients, and external stakeholders regarding scheduling.
  • Enter case communications into client records as needed.
  • Prepare monthly calendars for employees using the agency database.
  • Assist with insurance authorizations and enter relevant data into the system.
  • Run daily reports, following up with field staff as needed.
  • Adjust nursing grids daily.
  • Enter EPSDT paperwork into the database.
  • Provide medication reminders as needed.
  • Exhibit Iowa Home Care’s Mission, Vision, and Core Values consistently.
  • Assist with incoming calls, filing, and other administrative tasks as needed.
  • Education: High School Diploma or GED required.
  • Experience:
    • 3-5 years of scheduling experience preferred.
    • 1-2 years of home care experience preferred.
  • Strong knowledge of scheduling principles, organizational methods, and office procedures.
  • Proficient with computers, phones, and other office equipment.
  • Effective communication skills and the ability to maintain confidentiality.
  • Valid driver’s license and proper auto insurance.
