SUMMARY:

The Warranty Coordinator handles the day-to-day duties associated with the warranties on condominium units built by Lewis Builders Development, Inc including owner communications, sub-contractors and construction team to successfully follow warranty requests, 60 day and 1 year list to completion

The position also provides client support with the day-to-day duties associated with the residential apartments managed by Lewis Builders Development, LLC to include rental applications, tenant communications, and processing receivables for rental properties.

Warranty Responsibilities:

Customer Relations:

· Answer and respond to all phone calls and visits in a friendly, professional manner

· Monitor all customer inquiries through emails, phone calls and Hubspot

· Field inquiries from homeowners/customers currently under warranty

· Communicate warranty needs or concerns to Residential Property Manager, RPM

· Weekly meetings with project managers and daily discussions regarding current task status

· Monthly review meetings with Project Management and RPM

· Log warranty repair tickets in Hubspot

· Respond to customers and keep them updated on completion of the requested information or 60 day or 1 year warranty repair list

Common Area Warranty Requests: Full description will be provided upon requested

General Warranty Tasks: Full description will be provided upon requested

Rental Support Responsibilities:

Customer Relations:

· Assist in answering and responding to all phone calls and visits in a friendly, professional manner

· Assist in scheduling property tours with prospective residents

· Monitor all customer inquiries through emails and phone calls

· Delivery of notices to apartment homes when needed

· Enter up to date tenant information into web portal (Buildium)

· Assist RPM with filling vacant units and maintaining waitlists

· Assist in entering up-to-date tenant information in web portal (Buildium)

Accounts Receivable: Full description will be provided upon requested

Application Processing: Full description will be provided upon requested

Move-in Processing: Full description will be provided upon requested

Maintenance: Full description will be provided upon requested

Other Responsibilities:

· Assist RPM with entering rule violations into web portal (Buildium) and send letters to tenants with re-inspection date.

Assist RPM with rental increases by updating accounts, emailing, and delivering notices

· Other responsibilities or tasks may be required as the demands of the business warrant

JOB REQUIREMENTS:

SKILLS & QUALIFICATIONS:

· Attention to detail combined with a can-do attitude

· Ability to prioritize and take ownership of multiple assignments and see to completion

· Finalize documents including misspelling and grammar cleanup, etc.

· Proficient organizational and time management skills

· Self-motivated, willing to learn new areas, and able to learn from mistakes

· Ability to handle confidential information appropriately

· Problem solver and creative thinker willing to present new ideas

Experience:

Computer Skills: Advanced skills with MS Office products and tools including, but not limited to, Outlook, Word, Excel, OneNote, PowerPoint and Pandadocs

Certificates & Licenses: Valid Driver’s License

Other Requirements:

· Professional appearance and judgment

· Excellent interpersonal skills and business vocabulary to effectively represent the company

· Excellent oral, and written communication skills

· Positive can-do Attitude

Job Type: Full-time

Pay: $25.00 - $28.00 per hour

Expected hours: 40 per week
