Location: Central Office – 123 Robert S Kerr Ave, OKC, OK 73102

Salary: up to $60,000.00, based on education and experience

Full Time /Part Time: Full-Time

Work Schedule: Monday to Friday

Primary Hours: 8am – 5 pm Schedule may vary based on some flexibility to arrive late/leave early with a shorter break for lunch. This unit does, however, back up the Customer Service Issuance Team with a requirement to serve the Will Call Unit until 5 pm.

Position Description: The Quality Service Coordinator is responsible for handling internal and external Vital Records (VR) communications to assure messaging with providers, partners, and the public are accurate and professional and meet established standards. This person will track and identify gaps in process and/or messaging that reduce efficiency or create frustration for customers.

Position Responsibilities/Essential Functions

  • Track legislative, media and public requests including time-sensitive escalations and then respond to or coordinate responses to those requests.
  • Research record/application status across multiple proprietary systems.
  • Establish, develop, and maintain contact with media, legislature, professional and civic organizations, and other special interest groups to promote VR programs.
  • Initiates and oversees the establishment of integrated strategies and plans designed to ensure all communication are cohesive and consistent, while identifying processes and/or communication gaps that lead to delays and confusion.
  • Coordinate documents, resource materials, and advertisements for trainings and meetings with data providers and other audiences.
  • Work with Registration Staff to ensure appropriate and accurate messaging materials are created and utilized for data providers and families.
  • Serves as project leader for special PR projects of VR e.g., NextGen ROVER launch, digital certificates, addition of AI technology into OK2Explore, service integration with Service Oklahoma, etc.
  • Manage the VR website and social media accounts
  • Work in coordination with agency graphic designers and VR field staff team to develop educational materials, training tools, fact sheets, etc. Each one developed specific to various target audiences (i.e., medical professionals, funeral directors, public, genealogists, tribes, etc.).
  • Work with Center for Health Statistics staff to develop statistical fact sheets and program data profiles to inform state and agency leadership, the public, and the media about the business of VR and health statistics used to inform policy decisions.
  • Work with OSDH Communications to draft media releases
  • Being present in the office is an essential function of this job
  • Other duties as assigned

Minimum Qualifications

Requirements at this level consist of a bachelor’s degree in journalism, marketing, communications, or a related field; or any equivalent combination of training, education and experience that demonstrates the ability to perform the duties of the position.

Strong personal and professional experience in creating content for public health and regulatory messaging. Solid project management, research, writing, editing, and communications skills. Developed knowledge of document design and layout. Ability to adapt to shifting and competing priorities in a fast-paced environment.

Strong oral communication: The ability to express oneself clearly in conversations and interactions with others and Written Communication: The ability to express oneself clearly in the style of business writing.

Physical Demands And Work Environment

This position is set in an office environment. While performing the duties of the job, employees are frequently required to stand, walk, lift, and reach. Applicants must be willing to perform all job-related travel associated with this position. Being present at the office is an essential function of the job.
