Job Description: The Academic Counselor works under the direct supervision of theDirector of Student Academic Support Services and the Dean.

Job Duties:

  • Serves as academic advisor for pre-professional Nursing students
  • Access, organize, and maintain academic information for pre-professional nursing students
  • Coach students for a smooth transition while matriculating by providing necessary resources or appropriate referral
  • Monitor students’ progress to ensure academic success
  • Schedule advisement sessions for early and regular registration (at least twice a year/once each semester)
  • Meet with students on academic probation and with mid-term deficiencies (a C- or below in more than one course) to develop a plan of action for academic success
  • Assess personal, social, or emotional issues that may hinder academic success and make referrals to the appropriate resource
  • Document advisement sessions on the appropriate forms and file in student’s folder
  • May participate in recruitment activities at high schools, technical schools and community colleges
  • Participates in all academic fairs sponsored by the University to include: Open House, Admitted Students Day, and Honors Day for the School of Nursing and the university
  • Conducts information sessions for prospective undergraduate students
  • Assists students with the application process for the Professional Nursing program
  • Reviews application packets for the professional program
  • Generates decision letters for the professional program
  • Evaluates transcripts of transfer students
  • Complete tentative plans for graduation for pre-professional nursing students
  • Assists in evaluating undergraduate student academic data related to progression, probation, and dismissal.
  • Assists in audits and academic clearance for graduating seniors
  • Assists in preparation of paperwork for graduates to be eligible to sit for the NCLEX-RN
  • Assists in preparation of paperwork for previous graduates to attend graduate school and/or transfer license to another state
  • Maintains and disseminate scholarship information; assist students with scholarship applications, verifications, letters, etc.
  • Collects and maintains statistical data in database for School of Nursing reports
  • Serves on standing committees of the School of Nursing by appointment
  • Provides support activities for all School of Nursing programs and activities
  • Attends staff meetings and other meetings as necessary
  • Implement and maintain a file for undergraduate nursing and Health Science students each semester to ensure clinical students have met the requirements prior to clinical using our approved vendor/clearing house. Compose and secure a file for each semester and year; alert the Dean upon completion
  • Composed and secure a file for faculty- student rotation letters each semester for the Dean.
  • Compose affiliation agreement letters and secure a file each semester for the Dean
  • Maintains, secures all clinical affiliation agreements and share with the Dean upon request and in a timely manner
  • Participate and attend summer academic activities, health sciences and nursing honor/recognition/pinning ceremonies and other student activities of the school of nursing
  • Support the pinning ceremony through drafting the program, and or editing, formatting, and sharing with nursing administration and faculty upon approval of the Dean
  • Assist in daily administrative office duties such as answering phone, returning calls, developing documents/handouts, input work orders, develop and edit upon request the academic calendar yearly
  • Perform school of nursing meeting minutes upon request of the dean
  • Edit curricular, advisory, or other school of nursing materials (including catalogs) or documents for the office of the dean; update school of nursing bulletin boards as requested by the Dean
  • Act as an advisor to student pursuing nursing or health sciences majors; support student registration needs and school of nursing and Hampton University registration periods
  • Support the office with scheduling of events and delivery of services to achieve program goals
  • Collect data/ perform surveys on areas of program activities for evaluation of program effectiveness
  • Type and share upon request school of nursing policies, handbooks, and procedures for implementation as applicable to all nursing and health sciences programs
  • Assist in the development, design, type, and edit marketing materials and reports and other educational materials for publication and distribution as requested by Dean
  • Maintain professional work environment including de-cluttering weekly
  • Other duties assigned by the Dean

Qualifications:

A Master’s degree in counseling or a related field is preferred. A Bachelor’s degree may be considered, if adequate experience can be demonstrated.

  • Must demonstrate initiative, flexibility, and work well under pressure
  • Must be organized and possess the ability to multi-task
  • Must be able to work well alone or as part of a team
  • Must possess effective written and oral communication skills
  • Sensitivity to the needs of a diverse student population, including minority and international students
  • Must be proficient in Microsoft Office Suite of products including MS Word, Excel, Access, PowerPoint, and Outlook
  • Ability to encourage and empower students to make their own decisions
  • Must be able to provide services and accurate information in a courteous and timely manner
  • Proficient in Microsoft 365, data entry, excel/spreadsheets
