Position Summary:
We are looking for a highly organized and detail-oriented Service Coordinator to support our Lead Dispatcher and ensure smooth daily operations. This role is essential in coordinating technician schedules, maintaining clear communication with customers, and managing administrative tasks across service, sales, and office functions.
Key Responsibilities
- Schedule service calls and dispatch technicians efficiently
- Confirm appointments and follow up with customers via phone, email, and text
- Maintain accurate customer and equipment records in our system
- Coordinate residential maintenance, installations, and estimate scheduling
- Handle incoming service requests from calls, emails, and web leads
- Process technician timesheets, permits, warranty claims, and job paperwork
- Monitor shared inboxes and respond or escalate inquiries as needed
- Collaborate with sales and operations teams to ensure timely completion of jobs
- Participate in the on-call rotation and assist with general office duties
Qualifications:
- Prior experience in customer service, dispatching, or administrative roles within the trades
- Strong organizational skills and attention to detail
- Excellent communication and multitasking abilities
- Familiarity with scheduling or CRM software (ServiceTitan strongly preferred)
- Ability to work independently and as part of a team
Preferred Experience:
- Background in HVAC or related trades
- Proficiency in ServiceTitan or similar platforms
