Job Overview of Intake Coordinator-Campus Admissions

The Intake Coordinator serves as the first point of contact for individuals and families referred to Andrus Campus services. This role is essential in creating a welcoming and supportive experience for new families as they begin their journey with Andrus. The Intake Coordinator is responsible for managing the registration process, maintaining clear and compassionate communication with students, families, and referral sources, ensuring all necessary documentation is completed accurately and efficiently.

Working collaboratively with a multidisciplinary team—including, residential team, clinicians, school staff, health center personnel, and both internal and external providers. The Intake Coordinator plays a key role in facilitating smooth transitions into residential and day school. This position requires strong organizational skills, attention to detail, and a commitment to delivering high-quality, client-centered service.


Essential Duties of Intake Coordinator-Campus Admissions

Key Responsibilities Include, but Are Not Limited To:


  • Accurately documents all student inquiries in the electronic health record and relevant data systems, ensuring compliance with organizational reporting standards and timelines.
  • Support campus tours and informational sessions for prospective students, families, school districts, legal representatives, hospitals, and community stakeholders interested in Andrus services.
  • Maintains consistent and proactive communication with families and referral sources throughout the intake process, ensuring a smooth and supportive transition to Andrus.
  • Coordinates timely and effective communication between internal departments to support each student’s intake and onboarding process.
  • Manages departmental purchasing needs, including the preparation and submission of purchase orders in accordance with organizational procedures.
  • Delivers exceptional customer service, fostering a welcoming and responsive environment.
  • Actively contributes to the execution of the organization’s strategic goals and initiatives.
  • Demonstrates a strong commitment to the organization’s core values and ethical standards in all aspects of work.


Essential Qualifications of Intake Coordinator-Campus Admissions

Key qualifications include:

  • Bachelor’s degree in Mental Health, Human Services, or a related field (preferred)
  • Minimum of two years’ experience in intake coordination or a related role within human services or school/residential setting.
  • Proficiency in electronic health record (EHR) systems and strong general computer skills.
  • Exceptional organizational abilities, with a proven track record of managing multiple priorities efficiently.
  • Excellent verbal and written communication skills, with the ability to engage effectively with diverse stakeholders.
  • Ability to access and utilize agency platforms, including the ADP mobile app, via smartphone or other digital devices.
