Telo Labs is a new clinic in Greenwich Village / Union Square opening in September. We are reimagining patients’ long-term beauty journey by blending personalized medical-grade treatments, digital-first convenience, and concierge-level hospitality.

Our services include botox, dermal fillers, and high-tech devices, with a focus on preventative skincare. Our clinical operations are overseen by our Chief Medical Officer, Dr. Ken Rothaus, a highly renowned plastic surgeon and aesthetic technology innovator. Our CEO and our Chief Medical Officer are both Harvard grads.

We are looking for a highly talented Aesthetic Care Coordinator that is excited about joining and helping build an ambitious organization from the ground up.

ROLES & RESPONSIBILITIES

Patient Experience:

  • Act as the first point of contact, providing a warm, welcoming, and professional environment for all clients.
  • Deliver an exceptional client experience from the initial inquiry through to post-treatment care, ensuring client satisfaction and fostering repeat business.
  • Ensure smooth check-in and check-out processes, including handling pre-appointment documentation and post-appointment follow-ups.
  • Engage in community outreach and event planning to promote services and generate new leads.

Sales Consulting:

  • Educate prospective patients on our medical aesthetic services through phone and in-person interactions, ensuring clarity and comfort throughout the process.
  • Drive sales by following up on leads, assisting with scheduling, and booking consults.
  • Manage and optimize appointment scheduling to maximize the clinic’s efficiency and revenue.

Office Support:

  • Perform opening and closing duties, manage patient flow, and coordinate the activities of providers and medical assistants.
  • Handle multiple phone lines, manage scheduling, and respond to client inquiries promptly, while maintaining a high standard of ethics, privacy, and client service.
  • Assist medical staff with inventory control, room organization, and other tasks as needed to ensure smooth clinic operations.
  • Assist with daily operations such as electronic medical record keeping, sorting mail, and managing deliveries.
  • Maintain a clean, organized, and inviting environment in patient rooms and waiting areas.

QUALIFICATIONS

Education & Experience:

  • High school diploma required; Bachelor’s degree or some college preferred.
  • 2-5+ years of experience in client service, preferably in the medical or hospitality industries.
  • Proven track record in delivering outstanding customer service.

Skills & Competencies:

  • High level of professionalism, discretion, and integrity in handling sensitive client information.
  • Strong verbal and written communication skills.
  • Ability to multitask, prioritize, and manage various responsibilities simultaneously in a fast-paced environment.
  • Proficiency in computer systems, including scheduling software, electronic records management, and basic inventory control.

Personal Attributes:

  • A positive, friendly demeanor with a passion for health, wellness, and aesthetics.
  • A motivated self-starter who can work independently and take initiative.
  • Ability to remain calm under pressure and handle client or provider needs with poise.

Physical Requirements:

  • Ability to lift up to 20 pounds and stand for extended periods.
  • Flexibility to work a non-traditional schedule, including weekends and evenings as needed.

Job Type: Full-time

Pay: $29.00 - $35.00 per hour
