The Law Office of Jessenia Rosales serves clients throughout Florida in the practice of family law, criminal defense, civil litigation, personal injury and Immigration. We’re seeking a professional, energetic, and compassionate Legal Intake Specialist to join our rapidly growing firm. As a vital member of our team, the Legal Intake Specialist manages the initial contact with our potential clients, interviews and screens them, and analyzes their cases to determine if our firm can help them. Other administrative or clerical responsibilities may also be assigned as needed. The candidate must be fluent in both English and Spanish and possess excellent communication and customer service skills. The candidate also must also be self-motivated, highly organized, detail oriented and require minimal supervision.

Responsibilities:

  • Serve as the first point of contact for potential clients, managing incoming calls and responding to online inquiries in both English and Spanish with professionalism and compassion
  • Interview, screen, and evaluate prospective clients to assess their legal needs and determine if our firm can help them
  • Collect relevant information about potential clients' cases, such as personal details, facts, documents, witnesses, statute of limitations and other deadlines
  • Alert our attorney to potential conflicts of interest identified during the intake process
  • Maintain thorough and accurate records in our case management software, ensuring all potential client data is up-to-date and easily accessible
  • Schedule appointments with our attorney and prepare relevant materials as needed
  • Collaborate with our attorney and team members to facilitate the onboarding of new clients into the firm's workflow
  • Provide administrative support to the firm, including data entry, document preparation, and general office support tasks
  • Attend regular team meetings and participate in ongoing training opportunities to improve skills and learn best practices
  • Contribute to a positive, team-oriented work environment that fosters collaboration, continuous improvement, and client satisfaction

Requirements:

  • High school diploma or equivalent
  • Fluency in both English and Spanish, with excellent written and verbal communication skills in both languages1
  • 1-3 years of experience in a customer service, legal, or administrative role; Experience in a law firm or legal setting preferred
  • Familiarity with case management software, Microsoft 365 (Word, Excel, Outlook), and Adobe Acrobat
  • Strong organizational skills; Ability to prioritize and meet deadlines
  • A high level of empathy and the ability to maintain confidentiality and handle confidential or sensitive information with discretion
  • Strong problem-solving skills, including the ability to think critically and make informed decisions
  • Self-motivated, energetic and able to work both independently and as part of a team

An employee evaluation will be performed after 90 days to determine suitability and consider an increase in compensation.

Job Type: Full-time

Pay: $17.00 - $19.00 per hour
