Title: Service Coordinator / Office Admin.

Responsibilities:

Service Coordinator:

· Work with the Service team to obtain and provide customer updates regarding service requests and status.

· Collaborate with the Parts department to handle Work Orders and schedule return trips for service completion.

· Assign Work Orders to area Service Technicians by 4 PM the day before scheduled service to ensure effective planning.

· Regularly update customer portals with relevant information for your assigned area to maintain transparency.

· Monitor and ensure Service Technicians comply with customer requirements to uphold service quality standards.

· Communicate promptly with Service Technicians during emergency situations to facilitate quick responses.

· Keep the customer database current with accurate information for easy access by the team.

· Schedule return trips with customers for service completion once parts arrive, aiming to minimize service downtime.

· Work with management on special projects as they arise, assisting in coordination and execution.

· Maintain the service inbox email for your area, addressing inquiries and communications proactively.

· Prepare and submit paperwork and Testing Documents to State authorities while entering necessary information into software systems.

· Notify the team and supervisor of any planned time off at least two weeks in advance to facilitate coverage planning.

Office Administrator:

· Order supplies for branch (printer paper, office supplies, PPE, etc.)

· Answer incoming phones

· Greet and direct incoming traffic

· Help with Special Projects when needed

· Work with the Management Team on any maintenance needed on site

· Check Mailbox daily

· Assist Management with planning and coordinating special events as needed.

Hours:

· This is a full-time position working Monday-Friday

Education and Experience:

· High School diploma required, but college degree preferred

· Three years working in a professional office environment or related experience preferred

· Construction or service contractor experience preferred but not mandatory

Job Type: Full-time

Pay: $20.00 - $23.00 per hour

Expected hours: 40 per week
