Position Overview:
The Intended Parent Intake Coordinator is responsible for guiding prospective intended parents through the initial stages of the surrogacy process. This position plays a crucial role in educating, supporting, and preparing intended parents for their journey, ensuring a smooth and compassionate onboarding experience. The coordinator will serve as a liaison between the intended parents and other departments, maintaining detailed records and ensuring timely communication.
Key Responsibilities
- Serve as the primary point of contact for prospective intended parents during the intake and onboarding process.
- Conduct consultations via phone, video, or in person to provide education about the surrogacy process.
- Guide intended parents through required documentation, applications, and agency protocols.
- Maintain and update client records in the agency’s CRM or case management system.
- Work closely with the legal, medical, and matching departments to coordinate next steps for new clients.
- Answer questions with empathy, professionalism, and accuracy, ensuring intended parents feel supported and informed.
- Monitor intake pipelines and provide regular updates to the leadership team.
- Attend internal team meetings and contribute to process improvement initiatives.
- Provide administrative support including scheduling, follow-up communications, and tracking client progress.

Qualifications:
- Bachelor’s degree in social work, psychology, communications, or a related field (or equivalent experience),
- basic knowledge of embryo creation, egg retrieval process, surrogacy process
- 2+ years of experience in client-facing roles, preferably in a healthcare, fertility, or family-building setting.
- Strong interpersonal and communication skills, with the ability to handle sensitive topics with discretion and compassion.
- Proficiency in CRM systems, Microsoft Office Suite, and virtual meeting platforms (Zoom, Teams).
- Highly organized with excellent time-management skills and attention to detail.
- Knowledge of the surrogacy and/or fertility field is a mandatory.
