Job Title: Funeral Counselor/Administrator

Location: Los Angeles, CA

Shift: Day Shift: Monday – Friday, must be willing to work weekends as needed

Pay: $20.00 -$23.00

Job Overview

The Office Staff/Clerical Administrator works closely with the administrative group and provides support to the location's office management team. Overall responsibility is to provide general office and clerical assistance to location management by assisting in tasks as needed to ensure clients and guests are satisfied with their memorial services and visit. Success in this position is predicated upon possessing strong organizational and time management skills in addition to exceptional communication skills, computer proficiency, and attention to detail.

Responsibilities and Duties

· Supports funeral management team with their administration needs including electronic file preparation and storing, memos, reports, forms, and other industry specific documentation and processes as requested; Performs data entry into computer systems and databases

· Performs general office duties including typing, copying, scanning, and faxing; Orders office supplies and helps with keeping office organized and running smoothly

· As needed may assist in proofing death certificates prior to filing to ensure accuracy

· Comply with state and federal laws and established company rules and regulations, by ensuring that documentation to support the disposition of remains is complete, accurate, and archived

· Assist with event planning and coordination including services and arranging conferences

· Assists in answering the phones and providing support and assistance with overall customer service; Responds to inquiries in a professional manner whether by phone or in person visits

· Follows-up with customers to ensure arrangements are as orders

· Partners with Funeral Director and sales executives to assist client families in funeral and visitation planning and other matters

· Assists with death certificate registration, follow-up, distribution, and mailing; Supports completion of required permits and certificates

· Greetings walk-in traffic with warm and friendly customer service

· May provide assistance to accounting department on client-families with past due accounts and/or processing payments; Ensures all invoices are audited for accuracy before forwarding them to the accounts payable department

· When answering calls deals with emotionally distraught customers with professionalism and compassion

· Stay updated on changes from Coroner's offices, state and county health departments, hospitals, and the death care industry

· Works according to safety standards set by the company, and by state and federal agencies; Reports unsafe conditions to management

· Assists with ongoing specialty/department projects as requested

Requirements:

· Must be Bilingual: Spanish and English (required)

· Proficient in Microsoft Excel

· Experience with Google Docs is a plus

· Prior experience in mortuary or funeral services is a plus

· Define the educational background, relevant job experience, and any special skills or training that are essential to perform the work of the position.

Environment/Physical Requirements:

· The performance of this position includes working in an air-conditioned office environment, working outdoors, and working in a laboratory environment with potentially toxic chemicals.

· There is generally more sitting than standing. The employee is frequently required to talk or hear. Specific vision abilities required by this job include good close vision and color vision.

· The employee may occasionally lift or move loads weighing up to 50 lbs.
