CLIENT CARE COORDINATOR

Our office, located next to the Promenade Shops in Center Valley, is excited to be adding a new member to our growing team!

JOB DESCRIPTION

This is a fantastic experience for a high-energy, detail-oriented person to start with a quickly-growing company. Oliver’s Nannies offers opportunities for growth into areas such as administration, management or marketing.

Working closely with the Executive Director, the Child Care Coordinator will be responsible for maintaining and managing all areas of client relations, such as inquiry calls, family/client consultations and follow-up, scheduling, creating/updating client care plans, and supporting recruitment tasks, as needed.

PRIMARY RESPONSIBILITIES:

· Answer and direct all calls for Oliver’s Nannies as main point of contact

· Review Oliver’s process and schedule Family Consultations with potential clients

· Work with Executive Director to facilitate Family Consultation appointments

· Schedule/complete Client registration/membership paperwork

· Conduct Welcome call with family upon signing and create individualized Care Plans for each child/household; ensure Care Plans are updated regularly through client check-in calls/visits

· Maintain and oversee ongoing office/client management including:

o Identify and present candidate profiles to families needing nanny services

o Schedule and attend nanny : client interviews and set-ups, as needed

o Ensure MatrixCare calendars for all families are updated in a timely manner

o Ensure all shifts/schedules are appropriately staffed (FlexCare/fill-ins)

o Enter new family/employee information into Matrixcare and maintain all files, paper and electronic

· Conduct regular phone/email family check-ins to ensure client satisfaction

· Market job listings for potential candidates to maintain competitive child care team, as needed

· Support Director to ensure semi-annual in-person visits are completed; Review nannies' performance for Annual Evaluation; Ensure proper ongoing nanny/client documentation is completed and filed; support event planning and marketing, as needed

· Be available for after hours calls to speak with new families or address urgent client needs

QUALIFICATIONS

· Proficient with Windows Microsoft Suite, including Word, Excel, Powerpoint; Familiarity with Quickbooks and MatrixCare software recommended

· Clean driving record and background check

· Ability to communicate respectfully and effectively with potential clients, current families, and company staff

· Ability to multi-task as well as work both independently and as a team player in a faced-paced environment

· Excellent written and verbal communication skills as well as attention to detail

· Flexible, positive attitude

EDUCATION AND EXPERIENCE:

College degree preferred
