We are seeking an experienced Receptionist who will beResponsible for representing the organization in a professional manner at all times, monitoring the access of participants and guest, and distributing transportation fare to participants.
The Awesome Things You’ll Do
- Greet all visitors with professionalism, announce their arrival, and direct them to the appropriate staff or facilities. Manage traffic flow in the front desk and report unethical conduct.
- Review participants calendar and direct them to assigned activity.
- Distribute metro cards to participants as needed, assuring that they are secured at all times and properly accounted for on the Transportation Log.
- Assist in inputting all participants information to whom metro cards were distributed on Goodwill Tracking data base daily
- Maintain accurate records reflecting the total number of metro cards at site and report any discrepancies to supervisors
- Correspond with agencies transporting our clients, arrange daily to and from transport and other transport, (e.g. for lab-work, for new clients, etc.). Arrange transportation with Upward Mobility as well as verify transportation authorization for daily appointments
- Monitor petty cash balance, process paperwork required for reimbursements. Distribute cash to staff and program participants accordingly, monitor cash usage/collect receipts, maintain records of all petty cash spent in program, assist accounting department with PROS yearly cash audit, travel to bank to manage deposits and cash checks
- Monitor supply and demand of office supplies and kitchen supplies, order supplies as needed. Create requisition/check request/Purchase Order and request for office supplies with all required signatures, distribute supplies accordingly.
- Maintain and ensure HIPAA confidentiality of records daily, serve as back-up compliance liaison for the PROS program and submit transportation authorizations Medicaid and other managed care programs
- Monitor daily participant attendance and communicate to program staff any participant absences for follow up
- Answer phones in a business like manner, transfer calls to appropriate contact, or take messages accurately
- Enter program participant daily attendance into electronic health records.
Activities are subject to change / be added to meet business needs with management approval.
Our Must Haves
- Post High School education and two years clerical or receptionist experience required.
- Bilingual preferred.
- Must be a people oriented individual with excellent interpersonal skills and professional appearance and demeanor.
- Must be able to work with a diverse client population and maintain a professional demeanor at all times.
- Knowledge of Microsoft Word, Excel, and databases required. Able to type 25-30 wpm.
- Must be detailed oriented and able to work in fast paced work environment.
- Must be flexible and able to respond to the changing needs of the program.
