ABOUT NBCG
Neurobehavioral Center for Growth (NBCG) is a fast-growing, multi-location behavioral health practice serving patients across Utah, with offices in Salt Lake City, Bountiful, South Ogden, and Ogden. We offer psychiatry, medication management, TMS, Spravato/esketamine, ketamine therapy, ABA therapy, neuropsychological testing, and speech therapy. THE ROLE
We’re looking for a warm, driven, and highly organized Patient Scheduling Coordinator to join our Salt Lake City team. This role is equal parts front desk and active outreach — meaning you’re not waiting for the phone to ring. When you’re not helping patients in front of you, you’re proactively reaching out to connect patients to care, fill provider schedules, and make sure no one falls through the cracks.
This is the right role for someone who genuinely loves talking to people, brings positive energy to every interaction, and takes pride in doing their job thoroughly and well. You’ll be the voice patients hear when they call NBCG — and the person who often gets them from “I’m thinking about it” to “I have an appointment.” That matters more than you might realize.
WHAT YOU’LL DO
Scheduling & Patient Outreach (Primary Focus)
- Proactively call and follow up with prospective and existing patients to schedule appointments with our psychiatric and advanced depression services providers
- Manage and optimize provider schedules across the SLC office and support scheduling for psychiatric providers at other NBCG locations as needed
- Coordinate patients into the right level of care — whether that’s medication management, TMS, Spravato, or ketamine therapy — by listening carefully and asking the right questions
- Educate patients about our services in a clear, warm, and compelling way so they feel informed and confident moving forward
- Follow up with patients who have expressed interest, had consultations, or need to reschedule, ensuring no opportunity to help a patient is missed
- Identify and fill gaps in provider schedules by reaching out to waitlisted patients or patients due for follow-up
Front Desk & Patient Support
- Answer incoming calls promptly and professionally, serving as a positive and reassuring first point of contact for patients and families
- Address patient questions, route calls appropriately, and ensure every caller feels heard and helped
- Check patients in and out for appointments, ensuring a smooth and welcoming experience
- Maintain clean, accurate, and complete patient profiles in our EHR system (AdvancedMD)
- Identify and correct profile discrepancies, missing information, or scheduling errors proactively — without waiting to be asked
- Coordinate with clinical and administrative team members to ensure seamless patient flow throughout the day

QUALIFICATIONS
Required:
- High school diploma or equivalent
- Strong verbal communication and interpersonal skills
- Comfortable making outbound calls and having warm, persuasive conversations with patients
- Highly organized with strong attention to detail
- Ability to pass a background check
Preferred:
- Prior experience in a medical front desk, scheduling, or patient coordinator role
- Familiarity with EHR or practice management software (we use AdvancedMD)
- Experience in behavioral health, psychiatry, or a specialty healthcare setting
- Comfortable discussing mental health services and treatment options with empathy and clarity
