Patient Care Coordinator / Front Desk Receptionist

We are currently seeking a professional, articulate and experienced Patient Care Coordinator / Front Desk Receptionist to join our dynamic team at our Westover Hills Wellness Center. This clinic cares for a truly unique patient population of retired First Responders and their dependents.

Responsibilities will include greeting patients, making them feel welcome, scanning documents, answering phones, scheduling appointments (when needed), maintaining a warm and welcoming lobby area, etc. Minimum 1-year recent medical front desk receptionist experience is preferred. Position is Monday - Friday, 8:00am - 5:00pm.

Essential Job Functions:

  • Welcomes patients and visitors by greeting patients and visitors in person or on the telephone, answering or referring inquiries
  • Optimizes patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone
  • Keeps patient appointments on schedule by ensuring proper communication between the front and back office team; reviewing service delivery compared to schedule; reminding provider of service delays
  • Comforts patients by anticipating patients’ anxieties; answering patients’ questions; maintaining the reception area
  • Ensures availability of patient information by recording appropriate patient information in the electronic medical records (EHR) and maintains patient accounts by recording and updating personal and financial information to include scanning documents and attachments into EHR.
  • Obtains revenue by recording and updating financial information, recording, and collecting patient charges
  • Protects patients’ rights by maintaining confidentiality of personal and financial information
  • Maintains operations by following policies and procedures, reporting needed changes

Education:

High School Diploma or GED


Experience: Minimum 1 year medical front office experience and/or training; or equivalent combination of education and experience.


Certificates, Licenses, Registrations: MA preferred


Required Skills:

  • Extensive EHR experience preferred - we use Elation
  • Excellent communication and customer service skills
  • Ability to answer the telephone in a professional helpful manner
  • Ability to assist clients and provide an excellent experience at Health by Design
  • Excellent computer skills (Microsoft Word, Excel, and Power Point)
  • Ability to work as an effective team member
  • Ability to read, write and comprehend simple instructions, short correspondence, and memos
  • Ability to write legibly simple correspondence
  • Ability to effectively present information in one-on-one and small group situations to customers, patients and other team members of HBD
