Position Overview
We are seeking an experienced Senior Service Coordinator to manage and optimize field service operations for HVAC and plumbing work. This role ensures timely response to service requests, coordinates schedules and dispatch, serves as the primary customer and technician contact, and supports project and budget tracking. The ideal candidate has proven HVAC service experience, strong organizational and communication skills, and the ability to prioritize emergency work while maintaining high customer satisfaction.
Key Responsibilities
- Coordinate and prioritize inbound service requests for HVAC and plumbing, ensuring timely response and resolution.
- Schedule and dispatch field technicians using company scheduling/dispatch software; adjust assignments as work and staff availability change.
- Serve as the main point of contact for customers and techniciansprovide status updates, manage expectations, and document interactions.
- Triage and prioritize emergency and warranty calls to minimize downtime and safety risks.
- Maintain accurate job records, work orders, and service documentation in the field management system.
- Monitor parts inventory and coordinate procurement or redistribution to meet service needs.
- Support small projects and work orders by tracking timelines, resources, and budget impacts; escalate larger issues to project managers.
- Assist with budget tracking and cost control for service operations, including labor and parts usage.
- Generate regular operational reports (technician utilization, response times, outstanding work orders) and recommend process improvements.
- Coach and mentor junior coordinators or dispatch staff; maintain clear communication between field, service management, and office teams.
- Ensure compliance with safety policies, licensing requirements, and regulatory standards in service documentation and dispatch decisions.
- Minimum 35 years of experience coordinating HVAC or service operations; hands-on HVAC field experience is strongly preferred.
- Proven experience with service scheduling and dispatch workflows; familiarity with field service management software.
- Strong customer service and communication skillsable to interact professionally with customers, technicians, and management.
- Excellent organizational skills and the ability to multitask in a fast-paced environment, including handling emergency dispatches.
- Working knowledge of HVAC systems and service procedures; plumbing experience is a plus.
- Comfortable supporting budget tracking and basic financial oversight for service operations; experience with cost control preferred.
- Experience or familiarity with project management principles and scheduling large service jobs is desirable.
- Technical/mechanical aptitude and troubleshooting familiarity are nice-to-have.
- Valid drivers license and ability to travel to job sites as needed; certifications (e.g., EPA 608) or relevant trade credentials are a plus.
- High school diploma or equivalent required; associate degree or technical certification in HVAC, plumbing, or mechanical trades preferred.
