Patient Service Coordinator II

The Patient Service Coordinator performs a broad range of office and administrative tasks that provides support to the department’s day-to-day operations. This includes greeting of patient-families, personnel and all correspondences as a positive representation of the department. The Patient Service Coordinator II (PSC II) will manage patient records, handling of paperwork, reports and assist with billing inquiries, monitoring of departmental materials, supplies, and equipment. The PSC II will support St. Mary’s mission to provide the highest quality of care coordination services by complying with regulatory guidelines and meeting agency standards.

JOB DUTIES / RESPONSIBILITIES

ESSENTIAL DUTIES

  • Executes various administrative tasks, including data entry to multiple systems and dashboard logs for both in-office and remote employees.
  • Maintaining well-stocked office supplies, office organization, managing equipment and coordinating maintenance services as needed.
  • Coordinates and collaborates with other administrative personnel in overall management of Patient Health Information (PHI). Fills-in as a back-up.
  • Understands and follows procedures to accurately create, maintain and organize patient Electronic Medical Records (EMR). Ensuring accuracy and confidentiality of patient’s files to the appropriate record.
  • Assists with preparation for Regulatory Agency requirements and Audits (e.g., pulls reports, collects and uploads time sensitive files).
  • Reviews and processes invoices and expense reports in timely manner, generates check requests and communicates with Finance and vendors to ensure proper payment and monthly account reconciliation for each program.
  • Scheduling meetings and events; booking conference rooms, arranging necessary equipment, materials and issuing meeting attendance/minutes.
  • Manages phones call, emails, and efaxes. Redirects correspondences to pertinent departmental / system-wide personnel.
  • Maintains and updates accurate case management and census lists, grids, email distribution lists, emergency contact info.
  • Runs and maintains reports as assigned.
  • Handles medical record requests as assigned, archives files and retrieves them as needed.
  • Performs other duties as assigned

QUALIFICATIONS / KNOWLEDGE

Formal education required:

High School Diploma required; Associates Degree preferably in Secretarial Science or the equivalent and/or related experience preferred .

Previous experience required:

Requires sufficient knowledge of hardware, software, and telecommunications operations, business requirements and area workflow process.

Strong knowledge in Microsoft Office applications.
