Job Title: Client Intake Coordinator

Location: Massapequa, NY/ Hybrid Remote

Schedule: In Office Tuesday 2-8pm, Friday 2-6pm.

Remote Monday, Wednesday, Thursday

Position Overview:
We are seeking a highly organized and detail-oriented Client Intake Coordinator to join our team. In this role, you will be the first point of contact for new clients, ensuring a smooth and professional onboarding experience. The ideal candidate is personable, efficient, and able to manage administrative responsibilities while maintaining strong communication with clients and internal staff.Key Responsibilities:

  • Serve as the initial point of contact for prospective clients via phone, email, and in-person communication
  • Send, collect and review intake documentation for accuracy and completeness
  • Maintain and organize client records in compliance with company policies and confidentiality standards
  • Coordinate client scheduling, availability, and service assignments
  • Verify insurance information and obtain necessary authorizations
  • Scan, upload, and manage documentation in electronic systems
  • Collaborate with internal teams to ensure timely and appropriate client placement
  • Ensure all required forms, consents, and compliance documentation are completed and up to date

Qualifications:

  • High school diploma required; Associate’s or Bachelor’s degree preferred
  • Previous experience in administrative support, client services, or intake coordination preferred
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Ability to handle sensitive information with professionalism and confidentiality
  • Proficiency in Microsoft Office and electronic record systems (experience with scheduling or healthcare software is a plus)
  • Ability to multitask and work in a fast-paced environment

Preferred Skills:

  • Experience with insurance verification and authorization processes
  • Familiarity with healthcare, behavioral health, or social services settings
  • Strong problem-solving and customer service skills

Pay: From $25.00 per hour

Work Location: Hybrid remote in Massapequa, NY 11758
