Job Description:

SUMMARY

Under the supervision of the Mental Wellness Program Manager, the Mental Wellness Program Assistant provides essential administrative and operational support to the mental health clinic and related wellness programs. This role is critical to ensure smooth day-to-day clinic operations, accurate documentation, and high-quality client experiences. The Program Assistant works closely with clinical staff, program coordinators, and managers to support service delivery while upholding organizational values, confidentiality, and compliance requirements.

ROLES & RESPONSIBILITIES

Administrative & Clinic Support

  • Provide day-to-day administrative support to the mental health clinic, including answering phones, responding to emails, and greeting clients.
  • Assist with client intake processes, appointment scheduling, reminders, and follow-up communications.
  • Maintain accurate and up-to-date client records, files, and program documentation in accordance with confidentiality and HIPAA requirements.
  • Enter and update data in electronic health record (EHR) systems and other databases as required.
  • Support clinicians and program staff with preparation of forms, reports, and program materials.

Program & Operational Support

  • Assist with coordination of clinic operations, including tracking schedules, room usage, and supply needs.
  • Support program activities, workshops, and events by assisting with logistics, materials, and attendance tracking.
  • Help monitor program workflows and identify administrative or operational issues that may impact service delivery.
  • Assist with collecting required documentation and data for internal reporting, audits, and funder requirements.

Client & Community Support

  • Serve as a point of contact for clients seeking information about mental health services and referrals.
  • Provide culturally responsive, client-centered support while maintaining professionalism and appropriate boundaries.
  • Assist with referrals to internal programs and external community resources as directed by program staff.

Collaboration & Communication

  • Work collaboratively with clinicians, coordinators, managers, and other departments to support integrated service delivery.
  • Participate in team meetings, trainings, and supervision as required.




Compensation details: 28-31 Hourly Wage
