About the Role

At Evolve, we believe patient experience is everything. We’re looking for a Patient Care Coordinator (Team Lead) who can deliver concierge-level service while keeping our front office running like a well-oiled machine.

This is not your typical front desk role—you’ll serve as the go-to leader for daily operations, supporting the team, optimizing schedules, and ensuring every patient interaction feels seamless, professional, and genuinely welcoming.

What You’ll Do

Lead the Front Office

  • Act as the day-to-day lead for front desk operations
  • Support, guide, and train team members on systems and service standards
  • Help onboard new hires and reinforce best practices
  • Identify opportunities to improve workflows and efficiency

Deliver an Exceptional Patient Experience

  • Greet and assist patients in person and across phone, text, email, and social media
  • Provide accurate information on services, treatments, and pricing
  • Create a high-touch, concierge-level experience from start to finish

Own Scheduling & Flow

  • Manage appointments and coordinate treatment schedules
  • Optimize provider schedules to reduce gaps and maximize efficiency
  • Keep the day running smoothly and proactively adjust as needed

Support Operations & Administration

  • Maintain accurate patient records and documentation
  • Process payments and assist with billing questions
  • Coordinate logistics like blood pickups and daily office needs

Drive Growth & Engagement

  • Nurture leads through Zenoti and Enrollment Genius
  • Support marketing efforts via email, SMS, and social media
  • Help ensure timely follow-up and strong conversion rates

Maintain a High-Standard Environment

  • Ensure the clinic is clean, organized, and always patient-ready
  • Uphold presentation and service standards across the team

What We’re Looking For

  • Experience in a patient-facing or healthcare administrative role (required)
  • Leadership or supervisory experience (strongly preferred)
  • Strong communication skills—professional, warm, and confident
  • Highly organized with strong attention to detail
  • Comfortable multitasking in a fast-paced environment
  • Experience with scheduling systems (Zenoti is a plus)
  • Sales-minded with a passion for helping people
  • Discreet and trustworthy with sensitive information
