Job Overview
We are seeking a compassionate, organized Patient Care Coordinator / Medical Assistant to join our women’s health clinic. This role combines clinical support with administrative coordination to ensure a welcoming, efficient, and high-quality patient experience. The ideal candidate is detail-oriented, comfortable with technology and electronic health records, and enjoys supporting both patients and providers in a professional outpatient setting.
This position plays an important role in maintaining smooth clinic operations while helping patients feel heard, supported, and cared for throughout their visit.
Responsibilities
- Welcome patients and assist with check-in, intake forms, and insurance verification using the clinic’s electronic health record (EHR) system.
- Obtain and accurately document vital signs including blood pressure, pulse, respiration, temperature, and weight after rooming patients.
- Assist providers during examinations and in-office procedures by preparing rooms, maintaining sterile technique when needed, and organizing supplies.
- Prepare patients for examinations and procedures while ensuring comfort, safety, and privacy.
- Maintain accurate clinical documentation within the EHR, including intake information and provider instructions.
- Review chart notes following patient encounters to ensure documentation accuracy, completeness, and compliance.
- Verify that clinical documentation correctly reflects the services performed and correct any inaccuracies when necessary.
- Review and confirm ICD-10 diagnostic codes for accuracy.
- Ensure completion of follow-up tasks associated with each encounter, including sending referrals, submitting imaging orders, and transmitting laboratory orders when indicated.
- Communicate clearly and professionally with patients by phone, in person, and through written communication such as text messaging, email, and patient portal messaging.
- Maintain cleanliness and safety of exam and procedure rooms, including proper room turnover after procedures in accordance with bloodborne pathogen safety standards.
- Maintain clean, organized exam rooms and ensure clinical supplies are stocked and ready for use.
- Support clinic workflow by assisting with administrative tasks such as scanning documents, processing referrals, and coordinating laboratory orders when needed.
- Uphold strict HIPAA privacy and confidentiality standards when handling patient information and communications.
- Contribute to a positive, respectful clinic culture focused on patient-centered care.
Qualifications
- Experience as a Medical Assistant, CNA, or patient care coordinator in an outpatient clinic preferred, though motivated candidates willing to learn are encouraged to apply.
- Experience in women’s health, obstetrics/labor & delivery, gynecology, or medical spa environments is a benefit.
- Strong listening skills and the ability to make patients feel comfortable, respected, and heard are essential.
- Strong computer and organizational skills, including comfort using electronic health record systems.
- Familiarity with medical terminology, documentation accuracy, and basic clinical procedures such as obtaining vital signs.
- Comfortable communicating with patients verbally, in person, and through written digital communication such as text and email.
- Strong attention to detail when reviewing chart documentation and encounter notes for accuracy.
- Understanding of HIPAA privacy regulations and patient confidentiality requirements.
- Knowledge of bloodborne pathogen safety standards and clinical room sanitation practices preferred.
- Excellent communication skills and the ability to interact professionally with patients and team members.
- Ability to multitask and remain calm in a busy clinical environment.
Pay: $20.00 - $25.00 per hour
